Request information. Congratulations, you’ve already completed the first step! We will send you all of the necessary and helpful information about Bolongo Bay and your wedding plans. 2. When you’re ready to confirm, we require a non-refundable deposit of $1000 to reserve your wedding date. To ensure that your guests all receive the same rate and are connected to your wedding group, we create a group account in our reservations system. This way, when your guests call to book rooms they only need to reference your wedding to receive your rates! We can provide a letter for you to distribute to your guests with details on the hotel, the room rates, and the reservation process. If you wish to block rooms for your guests, we will need to take a $600 deposit on each room . 4. Send invitations. Wedding To-Do List ‘How do I start planning my wedding in paradise?’ – Follow our To- Do List!
1. Request information. Congratulations, you’ve already completed the first step! We will send you all
of the necessary and helpful information about Bolongo Bay and your wedding plans.

There are currently a few vendors that we work with directly, in addition to Dow Studio. If you would prefer to switch your
photo package to one of these photographers, we will need to know as soon as possible in order to confirm their availability.
If you would prefer to book a photographer on your own, please let us know in advance so we may secure any necessary
information from them. We don’t offer package credits, and there may be a charge for the outside vendor.

If you do not have photography included, the price to add Toes in the Sand photography will be $600 for the 1st

Dow Studio – Dow Studio is considered our ‘House Photographer’ and also offers videography services.

Dow Studio’s HD package is $600, which includes one hour of videography with an edited DVD mailed to you within
a few weeks of your wedding day. Each additional hour is $250.

This video package is $600, which includes one hour of videography. You will receive an edited, fine art wedding
film (an example in the link above), which will run about 5-8 minutes. You will also receive an additional, uncut video
of ceremony/vows, length to be determined by the actual ceremony duration (around 15 minutes usually). The 2
hour package is $1,000 and also includes an edited fine art wedding film (8-12 minutes), and separate uncut video
of ceremony and vows. Let us know if you are interested in additional hours or larger packages.

This video package starts at $750 for 1 hour, and also includes an edited film that will run approx. 5-8 minutes.
They will also include all of the raw footage at no extra cost, if you provide a portable hard drive for them to put it on!
Many of our packages include flowers. If you have booked one of these packages, or if you’d like to add flowers to your
package, you can let us know what colors you'd prefer - or if there are any specific flowers that you like. While we can’t
guarantee any specifics, we do our best to match your requests! If you find photos online that you love, send them to us!
We can use photos as a guide to what we'll create for your special day.
Bridal bouquets are about 10”, hand-tied with the ribbon color of your choice. Bridesmaid bouquets are about 7”-8”, also
hand-tied with the ribbon color of your choice. If you’d prefer something more simple, we also offer small stem bouquets -
2 or 3 long stemmed flowers wrapped with the ribbon of your choice. Unless you specify otherwise, all additional flowers
will compliment the color scheme of the bridal bouquet.

Hair and Makeup
We highly recommend Sugar and Spice Artistry for all of your hair and makeup needs. They have a beautiful salon located
about 15 minutes from Bolongo, and offer mobile services as well. All pricing can be found on their website, as well as their
online reservation form. We prefer that all appointments be made directly, to ensure you get exactly what you’re looking for!
If you plan on booking multiple services for your bridal party, etc., you may be interested in renting our Wedding Day Room.
Ceremony Music
Several of our wedding packages include music for the ceremony. Whether you have this feature included, or you’d like to
add it to your package, here are some helpful guidelines:
Recorded Music - If you plan on using our speaker system to play recorded music at the ceremony, you can simply tell us the
song names and artists, and we will download them for you. We find it easier to download the songs onto our own IPod, so
we don't need to worry about using your phone or device, password protection, unfamiliarity with the format, etc. If there is a
specific version of a song that you’d like us to use (live vs. studio, covers, personal recordings, etc.) we recommend emailing
the file or a link. If necessary we can use your device to play the music (auxiliary cord connection only), but we’d like to save
you the stress if we can!
Songs to consider: 1) A few background songs to play as guests are seated and after the ceremony ends, 2) Bridal party’s
Bolongo Bay Wedding Arch Designs Arch Design ‘B’ [$400 to Add, $100 to Upgrade] This custom arch design includes flower arrangements on each side of the bamboo columns, and a full floral
centerpiece – without fabric. The flowers on the arch may include palms and greenery, as well as tropical flowers that
Frequently Asked Questions Do I need witnesses? You must have two witnesses of legal age to sign your marriage license. We provide this
service as part of all of our packages, in case you need them. We do not discount the package price if you have witnesses with you.
What does the wedding coordinator do? Your wedding coordinator will handle all aspects of your event from the first day you contact us, through the day of the event, to make sure that you have everything you need and to en-sure that all services that you have requested are fulfilled.
What kind of minister do you offer? We typically work with a non-denominational minister who creates a ceremony to suit your wishes – whether you want a religious ceremony, want to write your own vows or use our standard vows, include readings, unity ceremonies etc. If you prefer a minister of a certain denomination, please let us know in ad-vance. There may be an additional charge for this service.
Can I get my dress or suit steamed/pressed? We have a small steamer that can be borrowed from the front desk. If you prefer to get it professionally done, contact Private Collection at (340) 775-1178.
If we choose a beach wedding and/or reception, what is your policy for rainy weather? When it rains here on St. Thomas, it typically passes through quickly and then stops. We always have a back-up plan for outdoor events, and will communicate with you when we feel it is necessary to resort to that option. This may include moving into one of our restaurants or our conference room lounge. Both of our restaurants are open-air, however, so even if we need to move you indoors you will still be able to enjoy the outdoor ambience.
Do you offer group rates? We try to offer group rates to all of our wedding groups – depending on the month of travel. There is no minimum room requirement to be a ‘group’. Rooms must be booked directly with the hotel to receive your special discount. When your rates are quoted, you will be given a date on which they will expire. You must encourage your guests to book as early as possible – after the expiration date these rates will no longer apply. With your special group rates, we will provide a customized letter that you can distribute to your guests with details on the hotel, your rates, the reservations process and important dates for your event.
Do we need passports to come to St. Thomas from the United States? While passports are not required, they cer-tainly make everything easier, and you will need them if you travel to the British Virgin Islands. A valid driver’s li-cense is all that you need to travel to St. Thomas.
Do you have shuttles to and from the airport? While we do not offer airport shuttle service, there are plenty of taxis waiting for arriving guests so you will have no trouble with transportation. If you have a large group of guests arriv-ing at the same time, we may be able to arrange transfers for an additional fee.
Can I mail my wedding dress and other items to the hotel? Wedding dresses should NOT be mailed to the hotel, but should instead be brought as your carry-on when you fly down to St. Thomas. Do not pack them in your luggage – make sure to have them with you at all times. You may mail guest gifts, decorations and other items to our attention at the hotel if you do not have room in your luggage. Please make sure to pack them carefully, get tracking num-bers for any packages you send and do not send them too far in advance – we do not have much storage space. Please make sure to let us know when you have sent something! Storage fees will apply per package received, at $5 per box.
