Calhoun opened the meeting at 7:40 pm. Approval of December 14, 2015 Vestry Meeting Minutes – Jason Long moved that the December 14, 2015 Vestry Minutes be approved. Greg Phelps seconded the motion. The motion carried unanimously. Approval of December 20, 2015 Vestry Special Election Minutes -- Alice Towery moved that the December 20, 2015 Vestry Special Election Minutes be approved. Greg Phelps seconded the motion. The motion carried unanimously. Approval of the December 2015 Treasurer’s Report – Fr Calhoun stated. Talbot Fields moved that the December 2015 Treasurer’s Report be approved. Greg Phelps seconded the motion. The motion carried unanimously. DISCUSSION OF MINISTRY TEAM REPORTS: Buildings & Grounds - Report attached. An addition to the report, Bill Power talked about a couple of invoices on which the Vestry will make/approve motions (see below). Christian Formation and Worship – Junior Warden Hope Mitchell stated that there will be a Sunday School Sock Battle during January between the Good Samaritan Middle/High School classes and Rotation Sunday School to see who can collect the most children’s socks for ages 3-12. The Youth will prepare the food for the Shrove Tuesday Pancake Supper and Silent Auction on Tuesday February 9 th at 6:00 pm. The proceeds will go towards the 2016 Mission Trip. Vacation Bible School will be July 11-15, 2016. The dates for the Grace Point Camps are posted on the Bulletin Board—discounts for signing up early. Communications – Report attached. Additional comments: After discussion, it was decided that, rather than having two portals (one for Vestry; one for directory), it will be better to send e-mails via e-mail. In accordance with Margaret Slattery, printing the 50 th Anniversary Scrapbook will be $100 for a hard cover book. There will be announcements when the parishioners will be asked to update their directory information—most likely at Rally Day. Fellowship – Hope Mitchell stated the Advent Dinners, Greening of the Church, and Feast of Lights events went well. Next up are the Spiritual Conversations 3.0 on Sunday, 1/24, after the 1:00 service, and Tuesday, 1/26, at 6:00 pm plus the Annual Chili Cook-off on Sunday, 1/31 (judging 5:30 pm; dinner 6:00 pm). Finance – The 2016 Budget was discussed earlier in the day, with favorable results. Talbot Fields expressed appreciation to Fr Calhoun for putting together the 2016 Budget. Outreach – Report attached. Communication to the congregation as to Outreach giving and contributions is improving. The cash plate will be sent to an Outreach recipient each week, based on themes. After Outreach giving ideas have been solicited from the congregation, the Outreach Committee will assemble a list of recipients from said list and suggestions discussed at the Vestry Retreat. Pastoral Care – Joyce Grubb reiterated that the Flower delivery ministry needs more volunteers (there are currently only three people). Also needed is a database to track “who gets what” in way of flowers, food, visits, etc. OLD BUSINESS: Memorial Garden Tree. A new $500 line item for the Memorial Garden Tree was added under Buildings & Grounds on the front page, which funding can be used to maintain the oak tree in front of the sanctuary window. At the suggestion of Eddie Hopps, eventually the wood from the trunk could be used for making crosses and other Christmas decorations. NEW BUSINESS: Senior Warden Joyce Grubb stated that there was a mention about the refugee situation on the Diocesan web page and what some parishes were doing.

January 16, 2016 Vestry Meeting

Opening Prayer - Fr. Calhoun opened the meeting at 7:40 pm.

Approval of December 14, 2015 Vestry Meeting Minutes – Jason Long moved that the December 14, 2015 Vestry Minutes be approved. Greg Phelps seconded the motion. The motion carried unanimously.

MOTIONS AND VOTES:

Note: The motion on the Annual Adoption of Policies and Procedures Manual for Dealing with Sexual Misconduct will be on the February 8, 2016 Vestry meeting.

• Clergy and Vestry Recommendation for Candidacy for Liz Embler: Fr Calhoun passed around a one-page form--already signed by the Clergy--for the Vestry to sign. Said form requires signatures by two thirds of the Vestry, which requirement was met. Candidacy is the first of three steps, followed by ordination as Deacon and Priest.

• Del-Air Invoice – Bill Power read the invoice from Del-Air for work done to replace an electrical circuit board and connector due to the malfunction of the office hallway heating system. Jason Long moved that $901.16 from the Building & Grounds maintenance line item on the front page be paid to Del-Air. Greg Phelps seconded the motion. The motion carried unanimously.

• Chattanooga Fire Protection Invoice – Jason Long moved that $802.80 from the Building & Grounds maintenance line item on the front page be paid to Chattanooga Fire Protection for inspection and maintenance of the fire sprinklers done in January. An externally corroded sprinkler piping component was discovered and repaired. Greg Phelps seconded the motion. The motion carried unanimously.

• Housing Allowance Resolution: Fr Calhoun explained to the new Vestry members that the IRS allows a portion of clergy income to be used for housing allowances calculated by the rental value of the dwelling. Greg Phelps moved that 2016 housing allowances of $48,000 for Fr Calhoun, and $42,000 for Amma Dinsmore be approved. Alice Towery seconded the motion. The motion carried unanimously.

• Budget 2016: After the 2016 Budget was discussed in the Vestry Retreat and changes made thereto, Greg Phelps moved that the 2016 Budget, as amended, be adopted. Alice Towery seconded the motion. The motion carried unanimously.

• Budget 2016 (Revised) – E-VOTE: As another pledge was received and upward adjustments were able to be made, Talbot Fields moved that the 2016 Budget as revised be approved. Jason Long seconded the motion. The motion carried unanimously.

DETERMINATION OF DAY AND TIME FOR MONTHLY VESTRY MEETINGS. After discussion, it was decided that the second Tuesday of the month be designated with a 6:30 pm meeting. The February meeting will be held on Monday, February 8th due to the Shrove Tuesday pancake supper and Silent Auction being held on Tuesday, February 9th.

UPCOMING EVENTS:

• Spiritual Conversations 3.0 – Sunday, 1/24, after 11:00 am service; Tuesday, 1/26, at 6:00 pm. A light meal will be provided at each session.

• Chili Cook-off – Sunday, 1/31: Judging and pre-dinner appetizers at 5:30 pm; dinner at 6:00 pm. • Diocesan Convention – Friday and Saturday, February 5-6. • Shrove Tuesday Pancake Supper & Silent Action – Tuesday, 2/9, at 6:00 pm • Ash Wednesday Services Imposition of Ashes – Wednesday, 2/10: 7:00 am; 12:00 pm; 6:00 pm

PASTORAL CONCERNS – The clergy went over current pastoral concerns.

ADJOURNMENT - With no further business, Amma Dinsmore adjourned the meeting with a closing prayer at 9:10 pm.

The next Vestry Meeting will be on Monday, February 8th at 6:30 pm

2016 Vestry Meetings will be held on the second Tuesday of each month.
