Training End Users You have been assigned the task of training end users on how to create a Power Point presentation. End users work different shifts in different parts of the United States. Therefore, the training must be in an asynchronous mode posted to the Internet. Objectives for training include: Creating a new Power Point presentation Changing the theme of a presentation Adding text to slides Adding slides to a presentation Adding images to a presentation Animating the transition between slides Creating a slide show for presentation (.pps) The topic for your demonstration slide show will be evacuation procedures for the RTC building. You can find maps and images at http://www.mcc.edu. The demonstration slide show is what you will create as part of your training packet for end users.

Training End UsersCreating a PowerPoint Demonstration

Open Microsoft PowerPoint

If a desktop shortcut is not readily available, use the start menu and search for Microsoft PowerPoint. Highlight and click to open the App.

Opening a New Presentation

To create a new PowerPoint presentation from a blank template, go to the top left corner of the window and click File. When the backstage view appears, click New, and then choose Blank Presentation.

Adding a Slide

By clicking New Slide in the Home tab of the Ribbon toolbar,a table of different styles of slidesdrops down.

Each varies in layout, with some having options allowing for easier integration of tables, clip art, pictures, and other additional graphical aids.

Objective 1:• Create a title slide by choosing new slide.

• Then click the Layout arrow and choose Title Slide from the table.

• Create a Title that accurately depicts the material presented, in this instance you are presenting Evacuation Procedures in the Regional Technology Center at the Mott Community College Main Campus.

Choose a ThemeAn assortment of themes are available in the design tab of the ribbon toolbar. Themes offer various templates for color schemes and layouts that will work to compliment your presentation when used correctly.

Make sure text is easy to read, and that slides are concise objective points.

Objective 2: Choose a Theme

• Choose a theme that brings life to your presentation without sacrificing readability.

• Remember to consider the size of the images you intend to use to avoid layout complications.

• Stick with themes and colors that are appropriate for the venue and intended audience.

Adding Text to a Slide

Text may be added to slides in various ways. After opening a slide, there is an option to “Click to add text”.

In addition, text boxes may be added anywhere on the slide using the Insert tab, and clicking Text Box.

Adding Images • Adding images is much like

adding text. You can either choose one of the icons to add an image, or choose the Insert tab (right of Home) to access the images.

• Once selected, images can be re-sized by clicking and dragging the boxes that surround the image. The green circle rotates the image clockwise.

• Images can be quickly cut, copied, and pasted by right clicking the selected image, and choosing the desired tool.

Objective 3: Creating a slide with text and images• Create slides that will include the following maps:

• Include :

• Text descriptions of the locations of all exits.

• Arrows to provide an example of traffic flow during an emergency evacuation.

• Additional labeling of Exits for emphasis.

When an emergency alarm is sounded, students and faculty should proceed to the nearest Exits. The Automotive Customer Entry is the only marked Exit for the East wing of the first floor. (Example)

Classes at the west end on the East wing should also consider exiting in the West wing as exits may be closer in proximity.

Exits are located at the Northwest corner and North hallway. Alternate exits are located in the southeast of the west wing, as well as the main lobby.

Animations and Transitioning The Animations tab, has options for customizing the way each slide transitions to the next. Advanced options are available for further customization, including timing, effects, and sounds.

Transitions can be added to add effects to entire slides.

Click the slide or image you wish to animate, and choose the animation style you desire.

Second floor procedures include finding the nearest fire exit and descending the staircase to the first floor exit doors. (example)

3rd floor evacuation includes locating the stairwells at the north and south exits, and descending to the first floor exits.(example)

Rehearsing and Recording a Slideshow• The Slide Show tab has tools

that allow you to view and change the settings of the automated slide show.

• You can rehearse individual slide timings or record the entire slide show.

• The animation pane contains the layout of animations in the slide.

• Make sure images and text appear in a logical order.

• Allow yourself and the viewer enough time to absorb the information, but do not allow too much time to pass between animations to keep the viewer engaged.

Reviewing and Preparing for Sharing• The review tab has multiple tools for proofing and editing the text in

your slide show.

• Once the slide show is running according to your preference and it is free of grammatical errors, enter the backstage view by clicking File.

• Click the box “Check for Issues”, which will check for any problems in the presentation.

• Once this is complete, click save as, and save as type PowerpointShow (.pps or .ppsx)
