Welcome back!Firstly, we would like to take this opportunity to welcome you back to Mila. We know it’s been a very tough time for everyone and we hope you have stayed safe.
In this document, you will find the steps we have taken to ensure a safe, secure working environment, as well as the ways you can help to keep yourself and colleagues COVID Secure.

Completed COVID-19 Risk AssessmentWe have completed the Government advised COVID-19 Risk Assesment which has informed the steps we take in keeping Mila COVID Secure. You can download this from the Mila website at mila.co.uk/covid

site, both inside and outside. The messages are important and we ask that you please adhere to the guidance.
Travelling to, or driving for, work
DO use your own transportDON’T use public transport if possibleIf you have no other option but to share transport:

Where possible…
Journeys should be shared with the same person every time, with a maximum of two people in a vehicle at any one time. Ventilate the vehicle well (i.e. keep the windows open)Sit side by side, and face away from each other to reduce the risk of transmission. Clean the vehicle regularly using gloves and standard cleaning products, with particular emphasis on handles and other frequently touched surfaces. Wash your hands for at least 20 seconds using soap and water (or hand sanitiser if soap and water are not available), before entering and after getting out of the vehicle.
Arriving at & leaving the office
Mila is a COVID Secure Site.
As you arrive and leave you should use the sanitisation stations around the site before you do anything else
Measures have been introduced to reduce congestion and contact around the site, in particular stairs are now one-way and there is a priority flow throughout
Work times have been planned to enable social distancing as you arrive and leave work
Please wear a fresh set of clothes each day you are on site and wash any personal hi-vis each week
Automatic door openers are being installed throughout. Where they are not available please DO NOT hold open doors for others
There is now a temperature scanner in reception and we encourage staff to
use it regularly

DO hold all meetings online or via the phone
AVOID in-person meetings unless it is absolutely necessary If absolutely necessary, try to hold any in-person meetings outdoors. If this cannot be achieved, then you should maximise ventilation i.e. open windows and doors and keep meetings short
DO maintain social distancing at all times during meetings
DON’T meet off-site Meetings are currently only allowed online, on the phone or on-site in a controlled manner
DO seek authorisation for all visitors from your line manager or Joe Montague - with the exception of cleaning services, waste management, logistics and emergency repairs/maintenance
Essential work & activitiesFor work and activities that are essential and must be fulfilled on-site, we have risk assessed and taken actions to reduce the risk of transmission.
In-line with Public Health England (PHE) guidelines, where it is not possible to maintain social distancing of 2 metres, we have changed working practices so you are not facing others.
This includes adding screens or other dividers, providing PPE and/or restricting the number of people in certain areas using visible signage for example, around the warehouse despatch desk.
Hygiene & equipmentKeeping Mila clean is everyone’s job - particularly in shared areas. Our cleaners can only do so much, so during the day it falls to you to help keep all equipment and work stations safe.

Wipe down any equipment, surfaces and touch-points before and after use
Whilst they are not enforced nor part of our policy, should you wish to wear a mask and/or gloves these will be provided

You must wash or sanitise your hands regularly, for 20 seconds:
• After coughing or sneezing • Before and after eating or preparing food• Leaving or returning to your work area• Before having a cigarette or vaping• If you were in contact with someone with
possible symptoms
We have added a number of hand sanitisation stations around the site
Facilities
Mila is a COVID Secure Site.
ToiletsOnly one person can use the entire toilet facility at any one time. Wash or sanitise hands before and after using the toilet facilities. Enhanced cleaning regimes for toilet facilities are in place; particularly the door handles, locks and the toilet flush handle.
Nosh and shared break areas
DO wash your hands before touching anything.DO stick to the guidance displayed in shared areasDO maintain social distancing in Nosh and other break areasDON’T have a break at the same time as your colleaguesDO bring your own meals from homeAVOID leaving the building to visit local shopsDON’T use company mugs, crockery and utensils. You should bring your own refillable water bottle, as well as your own mug, crockery and utensils as neededDO put all rubbish straight in the bin – DON’T leave for someone else to clear upDO clear and clean tables when you have finished using them
Symptoms & falling ill at workYou must stay home if: If you fall ill at work:
• You have a fever• You have a persistent cough• You lose your sense of taste or smell• A member of your household is unwell
with symptoms• You become pregnant
• Notify your manager immediately
• Do not touch anything • Return straight home • Your line manager will
advise your colleagues and arrange for any area that is suspected as at risk of infection to be cleaned
If you, or anyone you live with, have any of the above you must stay home and inform your manager
