Public files can be linked to from our website or shared through FB. This is a good place for things like fliers that we want anybody to be able to download and distribute or post.

Secure files are files that can only be accessed by logging onto DACdb. This is where most of our documents, such as the record of Chili Cook-off sponsors, Chili Cook-off logos, documents to print and put in new membership packets, etc.

Let’s add the club inventory to the secure files.

I’m going to upload our inventory file. First I give it a name. Then I click the “Browse” button to locate the file on my computer.This file is an Excel spreadsheet saved with .xlsx subscript. (MAC users, please be aware that PCs will not be able to use your files without the subscript that tells them what kind of file it is.) Click the gold Add button in the upper right corner.

Using FoldersUsing Folders

See that we have added an Excel file. This file is for general use of the club, but most of our files will belong to a committee or project. The other items have the little folder icon in the Type column. To add a folder, just click the “Add Folder” button and give it a name.

To download a file, simply click on the file name.To open a folder, click on the folder name, for example I click on PR

I have clicked on PR and am now in the PR folder. Note the breadcrumbs. An “Up 1 Level” button now appears to allow navigation back to the top level. The “Add Folders” button allows Creation of further subfolders.

The file section that we have just reviewed is the same from year to year and so its best use is for information that we will want to access from year to year.

Information that is specific to the current Rotary Year, such as board agendas and minutes, is best kept in the files under Committees. These files can still be accessed after the Rotary Year, but with special effort.

Click on the Committees tab to find this page. Note that you are able to select the Rotary Year in the left column to access past information. Scroll down the page to see all of the committees for the Rotary Club of Sedona.

The committees section allows you to view who is on each committee, edit the committee membership, and send personalized email to the committee members. Click on view to see member contact information and work with files for the committee.

This is the View Committee page. Files can be accesses by clicking the “Files” button.

While this files dialog looks very much like the other files section, these files are not comingled with the “Files” tab files. Again we have the choice of making publicly accessible files and secure files. Most committee files will be secure, I would think.

DACdb files gives clubs and committees a way to save files for better security, access and continuity.

Files saved in the Files tab will be the same from year to year.

Files saved to Committees are associated with the Rotary Year and can only be accessed in future years by identifying the Rotary Year they were saved.

Files may be saved as Public or Secure.
