Select Lead Source for the contact

Key in all available information

Key in Account Name; if account does not exist, it will create a new account

Click on Save after entering all available information

Leads – Creation and Management

Lead Creation

• A lead’s information is available through their name card (example as seen here)

• Available details from the name card:

Lead Creation

Click on Leads

Lead Creation

To add a new Lead, click on “New Lead”

Create Lead page is loaded

Key in all available information (Company, Last Name and Lead

Owner are mandatory)

Lead Creation – Basic Information

1. Key in all basic information – Name, Title,

Company, mobile , etc

Lead Creation - Source

2. Choose Lead Source

Lead Creation - Status

3. Choose Lead Status

Lead Creation - Industry

4. Choose Industry

Lead Creation - Address

5. Key in company’s address

Lead Creation - Save

6. Once all available details are keyed in, click on Save

Lead Saved – Overall Information

Once Saved, the lead’s information will be displayed

for further activities

Leads – Actions

Leads – Actions

• Once a lead is saved, one or all of the below 4 actions can be

performed:

– Add a new task

– Add a new event

– Add a new call

– Send mail

Lead – New Task

1. To create a new task, click on “Add a new task”

2. Key in the Subject for the task, such as “Product Demo”,

“Schedule meeting” etc

Additional Options

3. Define the due date.

4. Other details (Repeat and More Fields) if applicable can

also be entered

5. Click on Save to create the task

Saved task will appear in Activities pane

New Event Creation

1. To create an event, click on “Add a new event”

2. Key in the name of the event (a meeting for

instance)

3. Mention the location of the event

New Event Creation - Date

4. Choose the date of the event (start and end)

New Event Creation - Save

5. Click on Save once all details are keyed in

Activities

The newly created event will be listed in Open

Activities pane

Add a New Call

1. To log/add a new call, click on “Add a new call”

Add a New Call - Subject

2. Key in the Subject/topic of conversation

Add a New Call – Call Type

3. Choose if its an inbound (call is from the lead) or outbound call

(call is made to the lead)

Add a New Call - Purpose

4. Select Call Purpose

Add a New Call – Current Call

5. Choose the call category: Current call – the call has started and

is active

a) The timer available here can be used to record the duration of the call

Add a New Call – Completed Call

Choose the call category: Completed call – the call has already been completed and is yet to be logged in here

a) Mention the data and duration of the call

Add a New Call – Scheduled Call

Choose the call category: Scheduled call – the call has been scheduled to occur in the future

Choose the scheduled date and time

Click on Save once the details are entered

Add a New Call – Completed Call

In this case, since a completed call is saved, it is appearing in Closed Activities

pane

Send Mail

To send a mail to the lead, click on Send Mail

A new window will appear as seen here. Mail body can be typed and sent to the lead. This too will be

recorded in the activities pane

Potentials – Conversion and Management

Potentials

• There are 4 ways to create a potential in Zoho

– By converting an existing Lead

– By creating a New Potential

– By adding a new potential from an Account

– By adding a new potential from an Contact

Converting Lead to Potential

1. To convert a lead to a potential, click on Convert

Existing Contact

2. If the contact is already existing in the database, choose if the potential needs to be added to the existing contact or created as a

new entry

3. Choose “Create a new potential for this account”

4. Key in all details available here

Potential Amount

5. Enter Amount

Potential Due Date

6. Enter Closing Date

Potential Stage

7. Choose Stage

Potential’s Contact Role

8. Choose Contact’s Role

Lead to Potential Conversion

9. Click on Convert

The Lead has been converted to a Potential

Click on Potential to navigate to Potentials page

Create a New Potential

1. To add a new potential, click on New Potential. The same step as detailed in the previous slides are to be followed

2. To edit or update any details, click on the Potential Name

Key in Potential Name, Amount, and closing Date

Create a Potential – Account

Select Account Name; if account is not available, a new one will be created

Select potential’s stage

Click on Save after entering all details

1. Enter the subject of the task

2. Choose the due date of the task

3. Key in other details if available

4. Click on Save

The saved task appears in the Activities pane

To add a new event, click on Add a New Event

Add New Event - Name

1. Key in the event’s name

Add New Event - Location

2. Enter the location of the event

Add New Event – Date and Save

3. Choose the start and end date of the event

4. Click on Save after filling up other details (if available)

Add New Event - Saved

The saved event will appear in the Activities pane

Updating Stage of a Potential

1. To update the potential’s stage, click on Edit
