This document covers how to edit the communication templates for
emails/app messages and automated SMS messages.

Communication Templates
Communication templates are the message templates that PetExec uses for all automated and
blastable messages. Templates can be edited here. The controls for when these messages are sent
are in Company PreferencesApplication PreferencesEmail/App Message – Customers.
To modify the content of automated Email/App Message and/or SMS template begin in the PetExec
menu under Company Preferences Communication Settings Communication Templates. There
are two options: Communication templates and Blastable templates.
1. Communication Templates are automated emails/app messages that are sent out based on
the Application Preference settings found in the Email/App Message – Customers category
while the SMS templates are triggered based on the Application Preferences found in the SMS
– Customers category.
2. Blastable Templates are emails/app messages that can be sent on demand. We recommend
saving and previewing prior to sending out an Email/App Message blast.
3. All templates have a default subject, header image, content and footer applied, but you can
edit and customize them here. Select the Email/App Message or SMS template you wish to
Edit. You can modify and preview the content once you have made your selection.
Email/App Message Templates and Blastable Templates
1. Each template has its own list of Dynamic Replacement Values (DRVs) which can be used to
customize the emails for your owners/pets by pulling data from within PetExec (eg, pet names,
owner names, appointment details). There are two underscores before and after the variable

name which is in ALL capital letters. Simply copy the DRV value from the top section and
paste it into the template where you want the information to be shown.
1. Email Options. Select a Background Color and choose to Show Company Logo, Show Owner
Portal Login, and Show Social Media Links. For Social Media Links, you must first create them in
Company Preferences Communication Settings Social Media Links.
2. Subject line. Text entered here will appear as the tile of the email as well as the subject line in
the pet owners in box. DRV values with an asterisk (*) can be included in the subject to
customize your emails. You cannot change the font size or color of the subject line text.
3. Header Image. The header image will appear at the top of the email. You have four options
for header images:
a. Use default image which is selected and displayed.
b. Use Custom Header Image. The image must be uploaded to the PetExec server and
the URL entered in the Custom Header field. This document outlines the process for
Uploading Images.

c. Select a Custom Header Image from the dropdown. These are images that PetExec has
added to the system for your use in any emails, you cannot add images to this drop
down list.
d. Select No Header Image.
1. Enter the message in Email Content including DRVs. These are the details of the message,
what it is you want to communicate with your pet owners. You can use the DRV values
here to customize your message for your pet owners or include details related to the
appointment/order/package etc. There are different DRV values for each email template
based on that message type. While you cannot attach a document to a template, you
can include a link to a document. This document outlines the process for Linking

2. Footer. Select Use Default, Use Custom Footer, or No Footer. To make any changes to the
footer, Use Custom Footer option. Changes made to the default footer will not be
reflected in the final email.
3. For Email/App Message Templates, click Modify Email Content to save your changes and
Preview to see what the email will look like for your customers.
For Blastable Templates, click Save Email Content to save your changes and Preview to see
what the email will look like for your customers. In addition, you can Send Email to yourself to
preview. When you are ready to send it to all your active pet owners with a valid email
address click Save and Blast.

SMS Message Templates
SMS templates are automated SMS reminders that available with the Pet Snaps Messaging option.
You must subscribe to Pet Snaps Messaging to use these automated SMS messages. Pet Snaps
Messaging can be added to your system from Maintain Company Info.
1. Each template has its own list of Dynamic Replacement Values (DRVs) which can be used to
customize the SMS messages for your owners/pets by pulling data from within PetExec (eg, pet
names, owner names, appointment details). There are two underscores before and after the
variable name which is in ALL capital letters. Simply copy the DRV value from the top section
and paste it into the template where you want the information to be shown.
2. The message content is limited to 300 characters. SMS messages incur usage charges.
Messages are limited in size to prevent a lengthy text message from being broken into smaller
messages when delivered to your pet owners.
3. Click Modify SMS Content to save your changes.
4. Your SMS Preview will load after you save your changes. All SMS messages will include
“From__COMPANYNAME” when sent to your pet owners. This text cannot be edited or
removed.
