Role purpose:

Trelya aims to break the cycle of social exclusion. To enable children and young people at risk of social exclusion as a result of social and economic deprivation to develop the skills, knowledge, awareness, aspirations and motivation to make positive choices about their lives and their behaviours.

Trelya is a medium-size independent youth organisation based in West Cornwall. Behind the images of sun, sea and sand, is one of the most economically deprived counties in the UK; a county where people experience high unemployment, high house prices, low paid, often seasonal work and rural isolation.

Trelya (the Cornish word for change) was registered as a charity in 2001. Concerned individuals in the community and local agencies had identified huge gaps in services for families at risk of social exclusion in West Cornwall. They set up Trelya to tackle the issues arising from social exclusion amongst some of the “hardest to reach” families in the area. One of the main aims of Trelya was to set up projects that would interrupt and break the cycles of social exclusion in deprived communities. Innovative, different, well resourced, long term services were needed to address social exclusion, and it was decided that an independent charitable organisation would be the most effective vehicle for delivering these services.

The Gul Administrator will be part of the Gul Skills Development Project - an innovative, intensive project aimed at improving the employability of participants through the development of work-ready skills, confidence, knowledge, aspirations and wrap around support. Opportunities will be offered through Trelya’s new Community Cafe and Art Space and will include in-house work experience, group and 1 to 1 support, training, accreditation and seamless progression pathways.

The successful candidate for this role will be an enthusiastic and a highly organised administrator with excellent interpersonal and communication skills. They will possess a creative mind and the ability to think innovatively to solve problems and operate at a fast pace whilst ensuring accuracy. This will be demonstrated by the ability to take initiative and work independently. A capability to manage changing priorities and work to tight deadlines is also desired.

This role will be carried out through direct delivery and work within the team.

Dimensions:

Annual financial accountabilityNo budgetary responsibility.

Management accountabilityThe Administrator will not be accountable for any other members of staff.

Accountabilities:

Trelya is a dynamic and innovative organisation and the particular duties and accountabilities may vary from time to time without changing the general character of the role or the level of responsibility entailed. Individual objectives will be agreed via the PDS appraisal process

To support and underpin the staff team through the maintenance, upkeep and development of current administrative systems, processes and procedures.

Overseeing and completing administration tasks that are specific to funding from the EU Growth Programme.

Supporting charity activities & events, primarily by ensuring that the necessary paperwork & logistics are in place to facilitate their success

To support basic charity accounting and bookkeeping tasks in line with systems in place

Overseeing the Charity Safeguarding policy and ensuring all volunteers and staff are processed according to this

To coordinate site bookings and calendared events

To manage all office functions and the charity’s interface with the public, including charity communications and publicity

To participate in and contribute towards own regular supervision.

To take responsibility of own professional development; participate in meetings, briefings, training events as required.

Corporate Accountabilities

Information security and governance Manage information in line with the Trelya’s policies, procedures and guidance on subjects such as Data Protection, Freedom of Information, confidentiality, information security and sharing, the information lifecycle and data quality, to ensure compliance and efficient and effective information governance

Safeguarding Maintain awareness of Trelya’s policies and practices regarding the safeguarding of children, young people and/ or adults who may be at risk. Report concerns/ allegations in accordance with corporate guidance and procedures

Equality & Diversity Work to eliminate unlawful discrimination, harassment and victimisation and report incidents as they occur. Treat everyone with dignity and respect and ensure individual’s needs are met. Challenge inappropriate behaviour and language constructively, advising on alternatives so the opportunity for change can be considered.

Key objectives

1. Completing administration tasks that are specific to funding from the EU Growth Programme.

2. Assisting the Gul Skills Development team with additional administration tasks specific to the EU Growth Programme.

3. Support financial/accounts administration4. Handling correspondence5. Organising meetings and producing agendas and minutes6. Answering telephone calls7. Organising social media and other publicity work8. Supporting management of IT systems.9. Supporting staff scheduling for Gul Skills Development Project.10.Ensuring the Lescudjack Centre’s front desk provides a friendly and welcoming service.

Competencies and other requirements We are searching for talented, principled and energetic individuals who are resourceful and able to adapt to different situations and be flexible whilst maintaining a positive attitude.

Knowledge and Experience Recruitment and Selection

Substantial administration experience within the voluntary sector.

Experience of EU funding administration preferred.Well-developed communication skills, high standards of written English and a good level of numeracy are all essential.

The skills to accurately input data onto databases, minute meetings and use Microsoft Word, Excel and Outlook is essential

Experience editing & updating internal databases

Basic finance and bookkeeping ability

Ability to coordinate and organise

Good organisation skills with attention to detail
