I delivered this presentation when I was studying Software Engineering at UTS(Autumn 2010). I was the Project Manager of a team of 20 Software Engineering students and we were developing a Robotic Waste Treament System.

So What exactly is a Team ?

Group Team

Individual accountability Individual and mutual accountability

Come together to share information and perspectives

Frequently come together for discussion, decision making, problem solving, and planning.

Focus on individual goals Focus on team goals

Define individual roles, responsibilities, and tasks

Define individual roles, responsibilities, and tasks to help team do its work; often share and rotate them

Concern with one's own outcome and challenges

Concern with outcomes of everyone and challenges the team faces

Purpose, goals, approach to work shaped by manager

Purpose, goals, approach to work shaped by team leader with team members

Individual members walk away when their “SHARE” of work is done

Once their task is finished, team member “ SHARES ” someone else’ load

Common Problems ... One person wants to take credit

for the whole work. “I would have completed the job

on my own faster than the team” Why do not they tell you and

discuss with you about the members of the team beforehand ?

“I will never again work in a team.

Why should I start ?” I wish I would have been in the

other team (Grass is always greener on the other side ! )

SOLUTION

Believe and Trust in your Team

Support each other (e.g.) Take the initiative

Can one escape from teamwork?No person specializes in all the disciplines.

To develop a product, you must have a team

of designers, production and marketing staff

along with the finance people.

That brings us to the matter of co-ordination.

The leader of the team is supposed to co-

ordinate the work done by others.

Weekly Timesheets (Cash Flow) Project plan needs to be worked

upon diligently using CORRECT information available.

Each team member should submit his TIMESHEET every WEEK so that the managers can keep track of the progress.

If needed, Managers can allocate more resources on time.

Quality check against time taken. (Overstating your timesheets)

Most Difficult Task?

• Manager's most important, and

most difficult job is managing

people.

• They need to hire, train,lead,

motivate and inspire them.

• Project success is all about

people success.

• Projects DON’T fail.

• PEOPLE FAIL !!

Yes we all have seen this !! "I know it all" attitude OR "That won't

work” attitude

How do I manage these communication blockers ?

TALK to them privately keep the conversation short it is USELESS to argue with them, so just

listen NO NEED to reply to the person’s

comment/ Feedback to your statement.

These people can be highly INSECURE people and thus egoistic,you say something and they’ll take it as a personal attack !!

AVOID THE PERSON (if possible)

Communication and Collaboration

Schedule appointments & meetings at the personal or team level

Share documents, files, data and other resources.(Do not let people BEG you for Information )

Personality Clashes ??? Different People think Differently

Imagine world with people who think similarly :

nothing would have been invented : no TV, Computer,

mobile phone, Electricity, X-Box, etc

Conflicts naturally arise out of these differences

Resolving Conflicts : COMPROMISE , TALK and

NEGOTIATE

Involve a 3rd person as a mediator to achieve a Win-

Win Solution

How to Motivate your team ?

Follow the Golden Rule:

(Yes, the Golden Rule!!)

Treat others as you would

like them to treat you.

Communicate with them

Praise

Get to know their

strengths and

weaknesses

Reward them

Creating Self-Managed Team Members

The manager tells the employee what they need to accomplish within a

certain time period.

Often lack of member participation. In fact, you may not even know if

they are truly capable of accomplishing this goal (Example)

So, rather than arbitrarily assigning tasks , lay out the goals and action

items required & ask them which actions items that they would like to

pursue , and how long it will take to accomplish.

When you deal with team members in this manner, you have activated

them.

They told you what they are going to accomplish, SO it is much more

likely to GET DONE.

And Finally ...Everyone has the hunger to be HEARD

and UNDERSTOOD (effective communication)

If you’ve found something you’d like to try, give it time and effort.

Commit to just one new thing and make it happen.

Respect your fellow Team members.
