It is essential for every student pursuing in PGDM to go for Summer

Training report for a stipulated time period so that he gains a firsthand

experience of the industrial environment.

I present my project report completed in NTPC, Tanda.

The project report has been helpful to me in various ways but the most

essential aspect of my report is the learning that I have done while preparing

this report. I gained depth knowledge about IT DEPARTMENT. I would

like to thank all the people who have directly or indirectly been instrumental

in completing my research report.

INTRODUCTION

“Information Technology” is the department which helps to co -ordinate the latest and advance technological trends in the field of today’s scientific world, where everyone is engaged in the best utilization of power and time.

Here we provide all the support in terms of computers (hardware & software),

Facsimiles (fax), printers and LAN support. In this way we act as a powerful source of organization and help to remove discrepancies in data which plays a leading role for the successful and the smooth working of such a big company “NTPC Limited”.

Large number of data is maintained through database like Oracle and Ingres-ii which is being used by departments like Purchase, Maintenance, etc. All the departments at NTPC, Tanda are linked with IT department and maintain high reliability in terms of data entry and maintenance. Similar steps are taken by communication department to enhance the mode of transferring data from one location to another in production unit as well as township for the employees and employer.

NTPC Limited (Formerly National Thermal Power Corporation) is the largest power generation company in India. Forbes Global 2000 for 2009 ranked it 317th in the world. It is an Indian public sector company listed on the Bombay Stock Exchange although at present the Government of India holds 84.5% (after divestment the stake by Indian government on 19october2009) of its equity. With a current generating capacity of 31134 MW, NTPC has embarked on plans to become a 75,000 MW company by 2017. It was founded on November 7, 1975.NTPC's core business is engineering, construction and operation of power generating plants and providing consultancy to power utilities in India and abroad.

The total installed capacity of the company is 31134 MW (including JVs) with 15 coal based and 7 gas based stations, located across the country. In addition under JVs, 3 stations are coal based & another station uses naphtha/LNG as fuel. By 2017, the power generation portfolio is expected to have a diversified fuel mix with coal based capacity of around 53000 MW, 10000 MW through gas, 9000 MW through Hydro generation, about 2000 MW from nuclear sources and around 1000 MW from Renewable Energy Sources (RES). NTPC has adopted a multi-pronged growth strategy which includes capacity addition through green field projects, expansion of existing stations, joint ventures, subsidiaries and takeover of stations.

NTPC has been operating its plants at high efficiency levels. Although the company has 18.79% of the total national capacity it contributes 28.60% of total power generation due to its focus on high efficiency. NTPC’s share at 31 Mar 2001 of the total installed capacity of the country was 24.51% and it generated 29.68% of the power of the country in 2008-09. Every fourth home in India is lit by NTPC. 170.88BU of electricity was produced by its stations in the financial year 2005-2006. The Net Profit after Tax on March 31, 2006 was INR 58,202 million. Net Profit after Tax for the quarter ended June 30, 2006 was INR 15528 million, which is 18.65% more than for the same quarter in the previous financial year. 2005).

Pursuant to a special resolution passed by the Shareholders at the Company’s Annual General Meeting on September 23, 2005 and the approval of the Central Government under section 21 of the Companies Act, 1956, the name of the Company "National Thermal Power Corporation Limited" has been changed to "NTPC Limited" with effect from October 28, 2005. The primary reason for this is the company's foray into hydro and nuclear based power generation along with backward integration by coal mining.

HISTORY OF NTPC, Tanda

Here in NTPC, Tanda it is a coal based power station having installed capacity of (110×4) 440 Mw, a MAHARATNA public sector Enterprise of Government of India.

NTPC Tanda is located on Faizabad -Tanda road via Maya junction at Tanda in Ambedkar Nagar district, Uttar Pradesh. The nearest railway station is Akbarpur 22kms away. The total area covered is 1838 acres out of which the main power plant comprises 1013 acres. The primary water source is river Saryu.

NTPC took over the project from UPSEB on Jan 14, 2000.The plant supplies power to nearby areas Basti, Sultanpur, & Gorakhpur through four transmission lines of 220Kv each.

The Plant consists of fuel system, waste heat recovery boiler, cooling system, water pretreatment plant, demineralization plant & a large switchyard. The plant is controlled by state of art controlled and instrumentation space technology.

In line with the NTPC’s vision core values, importance has been attached to quality, environment, occupation health and safety issues towards these, NTPC-Tanda is ISO-9001, ISO-4001 and OHSAS-18001 certified company .it is also practicing principle of 5s for housekeeping.

A well laid out township has been constructed adjacent to the land which has facilities like house, schools, hospitals, sports complex, shopping center, bank, post office, ICH etc. NTPC Tanda is fully aware of and committed to its social responsibilities, based on technical and non technical areas.

NTPC Tanda has a work force of 604 out of whom 417 are specified employees( those who worked with board), 187 executives.

KEY HIGHLIGHTS OF ORGANIZATION

NTPC’s generation rose by 3.5% yoy to 47bn units in 2QFY09 driven by stable yoy PLFs (83.1%) for its coal basedpower plants. Consequently, overall units sold also increased by 3.5% yoy to 43.8bn during the quarter.

The gas based power plants PLF’s increased only marginally to 58.2% during the quarter (from 57.4%) led by lackof gas availability, while the PLF for coal based power plants remained almost flat at 83.1% during the quarter dueto planned shutdown at a few power plants and lower generation on account of poor coal quality at certain locations.

The average realizations for NTPC increased by 21.4% yoy to Rs2.03/unit in 2QFY09 on account of pass throughof increased fuel costs. Domestic coal prices were increased by about 10% with effect from December 07 whileaverage cost of gas jumped sharply on account of purchases from the spot market at rates of US$24-25/mmscmd.Consequently, revenues for 2QFY09 grew by 25.7% yoy to Rs89bn.

NTPC’s wage agreement with its employees ended on 31 December 2006. We have treated the provisions as extraordinary items. However, NTPC afterfinalization of the wage agreement will approach CERC to allow the increase in wage cost to be passed on to theconsumers in form of higher tariff.

Interest costs increased by 4.6% yoy to Rs4.34bn during the quarter while other income rose by 1.7% to Rs7.4bn,due to the higher cash on books (Rs170bn) and interest income from tax free bonds issued by SEB’s.

Depreciation increased by 2.6% yoy to Rs5.3bn in 2QFY09 in line with commissioning of 1,000MW of additionalcapacity over the last 6-9 months.

Consequently, profit before extra-ordinaries grew by 12.3% yoy in 2QFY09 to Rs18.3bn, marginally above ourestimates of Rs18bn.

NTPC has reported net exceptional gains of Rs2.8bn during the quarter. Consequently, the profit after extra-ordinaries rose by 9.6% yoy to Rs21.1bn during the quarter.

Various software applications are there which are used to help various departments in their functioning of routine tasks so as to help in faster and effective decision making. These softwares are:

INTRODUCTION TO ERP

“Basically Enterprise resource planning (ERP) is a company-wide computer software system use to manage and coordinate all the resources, information and functions of a business from shared data stores.”

An ERP system has a service –oriented architecture with modular hardware units or “services” that communicates on a local area network.

The modular design allows a business to add or reconfigure modules while preserving data integrity in one shared data based centralized or distributed.

The main motive of ERP software system is “to integrate all departments and functions across a company onto a single computer system”.

NTPC Tanda uses the ERP software system which integrates several systems like:

ORIGIN OF ERP

Manufacturing management system has evolved in stages over the past 30 years from a simple means of calculating materials requirements to the automation of an entire enterprise. Around 1980, over- frequent changer in sales forecasts, entailing continual readjustments in production, as well as inflexible fixed system parameters, led MRP (material requirement planning) to evolve into a new concept:

Manufacturing Resource Planning (MRP3) and finally the generic concept of Enterprise Resource Planning (ERP).

The initials ERP originated as an extension of MRP (material requirement planning later manufacturing resource planning) and CIM (computer Integrated Manufacturing). ERP systems now attempt to cover all core functions of an enterprise, regardless of the organization’s business or charter. These systems can now be found in non manufacturing businesses, non-profit organizations and governments.

Fields covered by ERP:--

NTPC has several power plants throughout INDIA, so it is very difficult to manage the all power plants and their power generation in a single unit.

Sometimes ago NTPC used distributed database management system so all the power plants has their own database to manage the power generation employees details and so on.

Due to this DDBMS, NTPC faces so many problems, this is why now NTPC is using centralized database management system.

NTPC is using the ERP system developed by world’s greatest ERP system provider company SAP.

This ERP system covers all areas of NTPC projects, which are discussed below.

HMS (HOSPITAL MANAGEMENT SYSTEM)

This system is used for hospital management. It is use to manage and access the record of patients, medicines and doctors.

NEW HMS SYSTEM (JEEVAN REKHA)

It was developed locally by IT department Tanda to fully automate NTPC Hospital in Tanda. It contains following modules:--

FTS (FILE TRACKING SYSTEM) :--

This system gives the information that which is tracked from where.

PAIGAM (SMS SOFTWARE):--

This software is used to send and retrieve SMS to/from a group. It is embedded in visual basic and the web based programming is based on JSP.

The SMS service is of two types:

PUSH

This feature helps in sending sms to a group of executives/employees collectively.

For instance, if there is a meeting then this software is used to inform all related officials about the event.

It helps in case of emergency such as unit failure.

PULL

These are automatically generated sms replies generated to provide specific information.

IT COMPLAINT SYSTEM:--

The IT department provides for a complaint system where user from any department can register complaint pertaining to IT department.

ONLINE SUGGESTION:--

The IT department provides for online suggestion system where user from any department can give suggestions pertaining to management.

GATEPASS:--

This service is used for security purpose. It uses the face identification software for the authentication of the person. It issues a temporary pass for an outsider to the plant site.

E-FORUM:--

It is a local community for the NTPC employees where they can interact and discuss problems in order to ensure proper functioning of all the departments.

It is a performance based tariff for the supply of electricity by generators owned and controlled by the central government.

It is also a new system of scheduling and dispatch, which requires both generators and beneficiaries to commit to day-ahead schedules.

It is a system of rewards and penalties seeking to enforce day ahead pre-committed schedules, though variations are permitted if notified one and one half hours in advance.

The order emphasizes prompt payment of dues. Nonpayment of prescribed charges will be liable for appropriate action under sections 44 and 45 of the ERC act.

It has three parts:--

A fixed charge payable every month by each beneficiary to the generator for making capacity available for use. The FC is not the same for each beneficiary. It varies with the share of a beneficiary in a generators capacity.

In the case of thermal stations like GOI notification, it will comprise internet on loan, deprecation, O&M expenses, ROE, Income tax and interest on working capital.

In the case of hydro stations it will be the residual cost after deducting the variable cost calculated as being 90%of the lowest variable cost of thermal stations in a region.

An energy charge per kwh of energy supplied as per a pre-committed schedule of supply drawn upon a daily basis.

A charge for unscheduled interchange for the supply and consumption of energy in variation from the pre-committed daily schedule. This charge varies inversely with the system frequency prevailing at the time of supply/consumption.Hence it reflects the managerial value of energy at the time of supply.

HARDWARE APPLICATION

SERVERS :--

To accomplish these tasks following servers are used in NTPC-Tanda IT Department.

Web Server:--

It keeps the NTPC-Tanda homepage. This homepage provides NTPC local network. This page was created by IT department.

ALPHA Server:--

This is the main server of IT department. This is UNIX base server.

MAIL Server:--

This server mainly works on “LOTUS NOTES”. It follows by executives.

ABT Server:--

This server has VB.net and SQL. By accessing this system you can get any knowledge of NTPC power plant.

FTP/HTTP Server:--

File transfer protocol servers are used for sharing data between computers over the LAN.

ADS Server:--

Active directories are similar to database that are used in windows environment to store information about networks, users, domains and assets like printers etc. like database , we can query and update active directory for business purposes.

NETWORK SYSTEM

In NTPC-Tanda an intercom is developed which is connected to the main switch in IT department. Its main switch 3com 16 ports. Some small switches are also used. The whole network system is connected using OFC (optical fibre cables). OFC is used for the distance of more than 100m otherwise UTP (unleashed twisted pair) is used. For the various connections a proper coding, system is being used here. For the development of various application tools INGRESS is now in use.

ACCESS CONTROL AND RIGHTS POLICY

Purpose:--

The purpose of this policy is to describe access control measures to be incorporated in the computing resources of NTPC.

Policy Statement:--

In order to safeguard information and computing resources from various business and environment threats, system and procedures are developed and implemented for protecting them from unauthorized modification , disclosure or destruction to ensure that information remains accurate , confidential and is available when required. The administration of user access to the company’s automated information applies the principle of least privilege and “need to know” basis since NTPC is leading PSU maintaining information confidentiality is critical.

Scope:--

This document addresses policies and procedures related to the access control and rights on the information resources. This policy applies to all NTPC staff and all NTPC information resources including corporate data, as well as the application and system software.

AUTHENTICATION POLICY

Purpose:--

The purpose of this policy is to establish a standard for authentication of users to the IT system and creation of strong passwords, the protection of those passwords, and the frequency of change.

Policy statement :--

In order to safeguard information and computing resources from various business and environmental threats, system and procedures are developed and implemented for authentication of users so that only authorized users are given access to the organizations computing resources. Strong authentication shall be used for critical application & databases.

Scope:--

This document addresses policies and procedures related to the authentication of users to the organization’s resources. This policy applies to all NTPC staff and all NTPC information resources including all operating systems, application, database, LDAP and all other computing resources.

ENCRYPTION-INTEGRITY OF TRANSMITTED & STORED DATA

Purpose:--

The purpose of this document is to set guideline for usage of encryption methods and management of the encryption software for maintaining integrity and confidential of information in storage and transit.

Policy Statement:--

NTPC shall provide maximum protection to classified, sensitive and confidential information identified by company by effectively utilizing data encryption. The need and the extent of utilization of data encryption methods shall be justified by clear business objectives, nature of technology, information resources.

Scope:--

This policy statement applies to all employees of NTPC and all entities that use NTPC’s computing and networking resources. This includes contractors, consultants, third party associates and the temporary employees. It covers all the information and facilitates creation/ managing of exchanging and storing encrypted data among NTPC components and transaction involving outside agents.

VIRUS PROTECTION

Purpose:--

The purpose of this policy is to ensure the protection of the NTPC’s computer system against virus infection by providing the required technical support for timely distribution of anti-virus software, its updates and upgrades as well as ensure prompt escalating of virus incident reporting and management.

Policy Statement:--

NTPC protects its IT resources from all possible computer virus and related threats by developing the procedures and best practices.

Scope:--

This document addresses policies and procedures related to the IT management and specifically, the virus protection of all IT resources. This policy applies to all NTPC staff as well as the third parties, and all NTPC information resources including corporate data, as well as the application and systems software.

INTERNET SECURITY POLICY

Purpose:--

The purpose of this policy is to define standards to be met by all equipment owned and/or operated by NTPC interfaced with the internet and to provide baseline standards for their operation.

Policy Statement:--

All communication to and from the internet with the NTPC LAN or WAN network will be through the firewall. Communication to and from the internet will be logged as per the ‘event logging and audit trail policy’. Users will be granted access for business purpose only after formal approval procedure.

All NTPC business associates, vendors, third party’s consultants, auditors etc. must ensure that business information and computing systems they utilize when accessing the internet for the performance of their duties.

Scope:--

This policy and the associated procedures apply to the employees of the NTPC group and all personal who use the internet with the NTPC’s computing and networking resources, as well as those who represent themselves as being connected with NTPC IT network.

BACKUP AND RECOVERY

Policy:--

Backup of all business data, related application system and opening system software should be taken on a scheduled basis, in order to safeguard information and computing resources from various business and environmental threat.

Scope:--

This policy applies to all NTPC staff as well as the application and system software.

The security officer-EDP would be the executive owner for this policy. Any modification if required in the policy would be done in occurrence with the owner.

The security administrator is responsible for the implementing and executing the procedures mentioned in this document. The execution of the procedures will be monitored by security officer-EDP.

SOFTWARE DEVELOPMENT SECURITY & CONTROL POLICY

Purpose:--

These procedures and methods should delineate the various aspects of specification, configuration, development and procurement cycle of the software while ensuring that they meet the desired business objectives. MIS REPORT

Purpose:--

The information in electronics form can be protected to large extent by deploying various security mechanisms. However, it is protected by these mechanisms only till it is not extracted to generate various reports. It is therefore very important to exercise control in the way various MIS reports and generated and maintained.

Policy statement :--

The report generated using the information resources of NTPC shall contain only the information that is required at the time of report generation. Any such report, as containing information that is considered confidential or private to NTPC, shall be generated only after appropriate authorizations.

E-MAIL POLICY

NTPC’s EDP & communication department is making every effort to provide its employees with best technology available to conduct the company’s official business. In this regard the company has installed, at substantial expense, equipment’s, computers and advance technological systems such as E-mail for use to conduct its official business. This document was created to advise all users regarding the access to and the disclosure of information created, transmitted, received and stored via the use of the internet/intranet and other computer system.

Policy objectives :--

To ensure employees are aware of internet, intranet, windows/LAN messaging, IT network and E-mail privileges, and the responsibility they have in abiding by the conditions of use which are outlined below.

The NTPCs policy regarding the use of the internet and E-mail is, among other things, intended to guide you in the performance of your duties a NTPC employee. All data, including any that is stored or data printed as a documented is subject to audit and review. There is no expectation of personal privacy in the use of the internet and E-mail.

According NTPC reserves the right to monitor internet use, all E-mail and other computer transmissions as well as any stored information system. The reservation of this right is to ensure that public resources are not being wasted and to ensure that NTPCs information systems are operating as efficiently as possible in order to protect the public interest.

Almost all data and software is subject to the NTPC license purchase. Care should be exercised whenever accessing or coping any information that does not belong to you. Software which requires purchase or reimbursement for its use, such as shareware, requires strict adherence to the terms and conditions specified by the owner unless written permission for unrestricted use has been obtained. When in doubt consult your GM/EDP & communication head in your area.

SAP

The original name for SAP was German: Systeme, Anwendungen, Produkte, German for "Systems Applications and Products." The original SAP idea was to provide customers with the ability to interact with a common corporate database for a comprehensive range of applications. Gradually, the applications have been assembled and today many corporations, including IBM and Microsoft, are using SAP products to run their own businesses.

SAP applications, built around their latest R/3 system, provide the capability to manage financial, asset, and cost accounting, production operations and materials, personnel, plants, and archived documents. The R/3 system runs on a number of platforms including Windows 2000 and uses the client/server model. The latest version of R/3 includes a comprehensive Internet-enabled package.

SAP has recently recast its product offerings under a comprehensive Web interface, called mySAP.com, and added new e-business applications, including customer relationship management (CRM) and supply chain management (SCM).

As of January 2007, SAP, a publicly traded company, had over 38,4000 employees in over 50 countries, and more than 36,200 customers around the world. SAP is turning its attention to small- and-medium sized businesses (SMB). A recent R/3 version was provided for IBM's AS/400 platform.

We have all heard about the large (and very large) companies who have implemented (or are still busy implementing) SAP R/3. But SAP is gaining acceptance by smaller companies too.

There are many reasons a company selects and implements SAP – some are good and some are bad. The good ones include replacing an out-dated and inefficient IT Architecture (including the CIO’s nemesis … the burning platform), enabling business process change, and to gain competitive advantage. The bad ones are too numerous to go into here but would include the "why are we the only semiconductor company without SAP" question. More on the good reasons follows:

1. Replacing an out-dated and inefficient IT Architecture: In the beginning, computer systems were developed by individual departments to satisfy the requirements of that particular department. When someone finally realized that benefits could be had by linking these systems together, interface heaven was born. There are some companies today with literally thousands of interfaces, each of which needs to be maintained (assuming of course that there is someone around who understands how they work!). Sweeping them away and replacing them with an integrated system such as SAP can save much money in support. Of course, if you have a burning platform as well the question becomes even easier.

2. Enabling business process change – From the start, SAP was built on a foundation of process best practices. Although it sounds absurd, it is probably easier (and less expensive) to change your companies processes to adapt to SAP than the other way around. Many companies have reported good success from combining a SAP implementation with a BPR project.

3. Competitive advantage – The CFO types around have heard this old saying from the CIO types for many years now. The question still has to be asked … can you gain competitive advantage from implementing SAP? The answer, of course, depends on the company. It seems to us, however, that:

being able to accurately provide delivery promise dates for manufactured products (and meet them) doesn’t hurt ... and

being able to consolidate purchase decisions from around the globe and use that leverage when negotiating with vendors has gotta help … and

being able to place kiosks in stores where individual customers can enter their product specifications and then feed this data directly into it’s production planning process is pretty neat etc etc

RESEARCH METHODOLOGY

Research Methodology (RM) has many dimensions and research methods do constitute a part of the research methodology. RM is a way to systematically solve the research problem. It may be understood as the science of studying how research is done scientifically. The study of research methodology gives necessary training in gathering participation in the field works when required and also training in technique for the collection of data appropriate particular problem in the use of statistics, Questionnaires and controlled experimentation and in recording evidence, sorting it out and in interpreting it. Knowledge of research methodology is helpful in various fields. RM plays a key role in project work. It consists of series of sections or steps necessary to effectively carry at research and desired sequencing of these steps.

Data collection Methods :-

Data is collected from both primary and secondary sources.

1) Primary Data Sources : Discussions with human resources head of department and collect primary data Question. Methods and discussion with HR, HOD’s of different organizations used to collect primary data.

2) Secondary Data Sources : The secondary data sources were collected from the company manuals, Handbook sand management books and were edited to suit the purpose and comparing all data during project period.

Type of the Study :

The topic which has been selected for the study has wide spread implication in the work culture of UML, Jamshedpur .Because HRD practices has become an integral part of the UML, Jamshedpur employees which has given positive effects and better output in each and every process of work.

Survey Methods:

Exploratory study is used in this survey. At first, the researcher lacks a clear idea of the problems he will meet in the course of the survey. Through exploration, the researcher develops his concept more clearly, establishes priorities, develops operational definition and improve sthe final research design. The second reason is that, the area of investigation is very new, hence the researcher needs to do an exploration just to learn something about the problem facing the organization. The third reason is that, it is practical to do a formal and comprehensive study on this topic which has not done before in this organization.

C) Preparation of Questionnaires: The purpose of this survey was to bring out my inner perception and Humane feelings on the fulfillment of customer satisfaction index pertaining to HRD activities in the work culture of UML, Jamshedpur. For this, a structured questionnaire was designed in which all the HRD activities and satisfaction indexes were incorporated so that the respondent may easily understand the question and he would be able to reply to the questions. The questions were very simple and reachable to all the respondents and asses the level of their satisfaction. The number of questions was limited but each and every question has potential to generate the required information .

FINDINGS

To accomplish a goal of any kind of study a result or finding are very much

important but this is one of the most important aspects of any research. On

the basis of findings we can find out the positive or negative shades of any

aspect we can suggest some measures to overcome them if any.

So the findings of the study are as follows…

Majority of users were satisfied with the responsiveness of NTPC.

Very large no. of users rated the technical support as good and excellent.

Communication system is not upto the mark.

The security system provided by the I.T. deptt.to the employees are quite good

SUGGESTIONS

As we all know NTPC is one of the “NAVRATNA” company of India & it have most talented employees who are working for them since last many years. In my research I closely observed the IT department of reputed organization.

1. There is need to improve their payroll system.

2. There communication system is not up to the mark, there is need of some improvement.

3. They may use more updated software to make their work more effective & efficient.

LIMITATIONS

1) The study was restricted to NTPC, Tanda region so it is difficult to

generalize the interpretation made out of the findings.

2) This research is dependent on the information provided by the

respondents and sometimes the respondents are very reluctant in providing

right information and often provide it carelessly and the result drawn out by

only this information, so sometimes all efforts might not find direction and

results.

3) This conclusion and recommendations made are based on a very less

experience of researcher in this field.

4) Time was the biggest constraints as the study was limited for a period of

45 days only as per the curriculum of researcher, which means that any

relevant market phenomenon before and after this duration of time might

have been skipped in the study.

5) Many respondents did not reply and didn’t gave accurate answer.
