Purpose:

Northside Independent School District (“NISD”, “Northside”, “Owner”, and “District”) is

submitting this Request for Information (“RFI”) to gather knowledge and information on the

various types of Future-Ready collaborative style furniture that can be provided in a Elementary

school library environment. Furniture must include but is not limited to (Please provide pricing

on the items referenced below):

● Seating and mobile tables for at least 120 students in a variety of collaborative and

individual settings

● Chairs

● Soft seating

● Double faced shelving on casters for open areas

● Bistro style furniture

● Flexible, modern furniture, some with charging capability

● Mobile circulation desk (secondary to the permanent/fixed circulation desk)

Future-Ready Collaborative Library Furniture for Northside ISD:

Northside is an accredited K-12 school system serving the northwest quadrant of San Antonio,

Texas. Enrollment for the school year 2019-2020 exceeds 105,000 making NISD the 4th

largest

school District in Texas and the largest of 15 school Districts in Bexar County. Current facilities

include 79 elementary schools, 20 middle schools, 12 high schools, 5 magnet high

schools/programs, 4 special schools and 20 support sites and transportation centers.

Objective:

Through this Request for Information (RFI), the District intends to obtain information on the

variety of Future-Ready Collaborative library furniture that is available from qualified vendors.

Additionally, the District may choose a vendor that has the experience in Future-Ready

collaborative libraries to assist the District in the layout, design and recommendation of the

furniture to be used throughout the District. Respondents to the RFI must have experience in

Future-Ready Collaborative library furniture for comparable size projects. Interested parties should

contact the NISD purchasing office to acquire AutoCAD drawings of District project in order

to complete the “Vision Layout” section of this RFI. Finalists shall participate in a one (1) hour

meeting consisting of a 40 minute Power Point presentation and a 20 minute Q & A session with

the future-ready collaborative library furniture review committee. In this presentation, the

committee would like to see layouts of future-ready collaborative furniture in a library setting.

Anticipated Project Deliverable:

At the end of this RFI process, the District may select a vendor(s) to provide Future-Ready

Collaborative Library Furniture for various Elementary Schools throughout the District.

General Specifications:

Only responses from vendors that have a current contract with one of the following Purchasing

Cooperatives will be considered. You must include Cooperative name, contract # and expiration

date with your response.

The Northside ISD is a member of the following Purchasing Cooperatives:

● 2013 Purchasing Cooperative (Region XX ESC)

● The local Government Purchasing Cooperative (TASB Buy

Board)

● Choice Partners Cooperative (CPC)

● Harris County Department of Education (HCDE)

The Interlocal Purchasing System – Texas (TIPS/TAPS/Region

VIII ESC)

● National Intergovernmental Purchasing Alliance (NIPA)

● Purchasing Association of Cooperative Entities (PACE)

● State of Texas Department of Information Resources (DIR)

● Texas Comptroller of Public Accounts (TXMAS)

● Texas Cooperative Purchasing Network (TCPN)

● US Communities

● Educational and Institutional Cooperative Services (E&I)

Format of Submittals:

Vendors shall submit responses in an electronic format (i.e. PDF or PowerPoint ) thru ESM

Solutions.

Each proposal must be labeled on the cover page with the Proposer’s name, address, the proposal

number and the proposal name.

At a minimum, the RFI is to include a Table of Contents and the following sections:

a. Vision of Layout

b. Warranty

c. Installation

d. Previous Projects

e. Pricing Methodology

f. References

A committee of NISD staff will evaluate the submitted materials based on:

NISD staff may take any of the following actions after reviewing the submitted materials:

● Contact respondents and request additional materials or supporting information.

● Contact respondents for an in-person interview.

● Enter into direct negotiations with a respondent.

● Re-advertise and/or reissue the original RFI.

● Determine that responses received are inadequate and/or that the services sought are no longer

necessary or desired.

● References and past customers will be contacted.

NISD Rights:

This RFI does not commit Northside to enter into a contract. It does not obligate Northside to pay

for any of the costs incurred in the preparation and submission of proposals or an anticipation of a

contract. Northside reserves the right to:

● Make selections or solicit additional responses based on its sole discretion.

● Reject any and all proposals and enter into direct negotiations with any, all or some

providers whether or not they provided a submittal to this RFI.

● Remedy technical errors in the RFI process.

● Enter into an agreement with any provider or negotiate with more than one provider for the

provision of any, all, or some of the listed services.

SCHEDULE: The following schedule and timelines apply to this RFI, and is subject to change at the discretion of the District.

Timeline

Last date/time for questions: December 6, 2019 at 2:00 PM Central Standard Time

RFI Due December 13, 2019 on or before 10:30 AM Central Standard Time

Evaluation Period December 16 – 20, 2019

Finalist Presentations January 10, 2010 8:00 am CST – 12:00pm CST

Selected Proposal(s) Approved January 21, 2020

Interested firms should submit a response to this RFI #2019-226 no later than December 13, 2019 by

10:30 AM, CST through ESM Solutions. Faxed and emailed proposals will not be accepted. Questions

concerning the RFI will be answered only if created in ESM Solutions on or before December 6, 2019.

All questions submitted in writing through ESM Solutions prior to the deadline will be answered in the

form of addenda. All addenda will be posted on the NISD Purchasing Department website @

http://nisd.net/purchasing-dept/purchasing/current-bids. and in ESM Solutions under attachments.

Presentations with selected vendors will be at the address below. Chosen vendors will be notified

of the assigned time.

2019 Furniture Examples for Updating Libraries

Moveable Shelving 48” x36” double faced shelving with casters for non perimeter shelving that can be moved to accommodate a larger gathering

Moveable Collaborative Tables Light weight tables with casters that can be rolled and/or collapsed

Chairs Lightweight chairs that can be easily moved or rolled and stacked

Comfy Seating Moveable powered tables and chairs for cafe and comfy style seating

Other Projects At schools where some work on updating furniture has already occurred, we may want to look at some extras to put in place that will further interactivity, innovation and experimentation such as collaborative work areas, study carrels, modified circulation desks that can become genius bars, Lego walls, and message boards. This would vary by level.
