Connecting to a Database

We have provided an example access 2000 database: C:\Program Files\Traction Software\PDF Summary Maker\testdb.mdb

Click Windows Start menu, Settings-->Control Panel, Administrative Tools, Data Sources (ODBC)

Click System DSN Tab, Add Button, select Driver to Microsoft Access (*.mdb), Finish Button

Enter the data source name e.g. testdb, click Select button and locate testdb.mdb provided, then OK.

Start PDF Summary Maker and add all your PDF files to the list that you want to add to the database, select Special & DB Options menu-->Clear & re-populate database from files in list

A screen will appear like below, enter the Data source name and click connect, this will then go away an populate the database.

Importing & Exporting changes from/to the Databaseif the option 'When setting summary information always update database' is checked in the connection window (by default it is) then any Set summary process you make to the files will also update the database record automatically, any new records will be added to the database. NOTE: it matches on full source filename only. To Update changes to the database without an Set summary information process select Special & DB Options menu-->Export to Database To populate the file list from the database select Special & DB Options menu-->Import from Database

A. Add all the files to the list as usual, right click on any pdf file and selectupdate, make all the update boxes unchecked except the individual one you want to update then click 'apply to all files' button, once done click the 'Set summary information' button.

Q. What does the selected column do ? A. If it is selected to 'Yes' (by clicking the file item), then it will be used inprocessing changes otherwise that file will be skipped if selected to 'No'

Getting StartedOk presuming you've just installed PDF Summary Maker, you should have a icon on your desktop with the PDF Summary Maker Logo, like the below left screen shot.

Using The Interface to add document files to view summary informationNow let's move on to add document files into the list, in this walk-thru example I will use a file I prepared earlier but you can use your own pdf document files. Open up explorer and drag a pdf document file into the list window in the middle of the screen. (we have used c:\test.pdf as an example)

Note the information will be taken from the pdf documents as soon as they are dragged into the window, if Acrobat 5 shows a 'Busy' box then please click Retry. If you want to add many files then select as many files as you want and drag & drop them all at once. to do this use CTRL & SHIFT keys when selecting files in explorer. If you have lots of pdf's to add then please use the 'Scan for files' in the Files menu, that will add pdf's in directories and sub directories for you automatically.

Changing Summary InformationYou can change the summary information at any time by right clicking an item or items in the main window list and selecting update from the menu (or update in the actions menu), please use the CTRL & SHIFT keys to select multiple files you wish to update. (see the f.a.q. page for more specific scenario information)

Type your new information in the edit boxes, click the checkbox for the summary lines you wish to update, for example if you only click the creator checkbox then none of the others will be updated in the main window list, to exit click the 'Apply Information to item(s)'

Applying the updates to the PDF filesif you don't select any files in the list then all files will be updated that have a 'selected' yes status, otherwise all files selected will be updated. Click the 'Set Summary Information' button to apply the changes to the file(s). NOTE: only fields that have update checkbox checked will be updated, if some fields have not been updated then please check this.

A done box will appear when the processing has finished.
