Welcome to great company

Leadership has been a part of me from my younger years where leadership positions were thrust upon me during my school days. I believe that I have experienced friendship and unity among my Division Council team members as well as members of Division E. This I believe is the factor that brings success to any organization. I am fortunate to hold the position of Division Governor of Division E for I am among a set of friendly and nice people called Toastmasters. I am glad to see the extra ordinary friendship and unity among the men and women involved in this program. There are no boundaries to help each other. Some members postpone their personal commitments and come forward to help any individual whichever club,

area or division the needy person belongs to. This is fantastic. Are you one of them?

Build unity and friendship among your club members and build up network with all the other Toastmasters in order to achieve success.

Extra ordinary people in the past have rendered their labour and valuable time to change this world to a better place, for you and me to live in peace and harmony. They thought in different way and invented new solutions. Their inventions made our life comfortable and easy but they could not enjoy the benefit of their inventions. Some of them had to sacrifice their life in order to gain a platform for their ‘new’ way of thinking and expressing their ideas

and thoughts in public. Their ideas and thoughts were not accepted by the majority at that time. Today those are the theories and principles of most of the sciences. They were born as ordinary people like you and me. They became extra ordinary people by thinking freely and differently while others stuck to norms and never thought outside the box.

Think differently change yourselves and change the world to a better place where your children and grandchildren can live in peace and harmony.

Welcome to the ECLECTICMix!The EclecticMix is here to provide inspirational and educational stories from across Division E . Our goal is to create an exchange of information on all aspects of positivity and inspiration.

2014 has been an exciting year of development for us. We are delighted to launch the first edition of the Division E newsletter ever!

I have found that positive inspiring stories help others mentally to succeed. I would like to encourage you to sumbit stories , notes as well as opinions for future newsletters.

On behalf of the Division Council, please let me start by conveying my sincere gratitude to all of our Toastmaster fraternity in Division E who have submitted their stories and images for this newsletter. Thank you for reading.

Effective CommunICaTIonEffective Communication goes beyond just talking and listening...

Human beings are a combination of a physical body with various organs, mind, feelings, thoughts, personalities and varying degrees of capacity levels. Therefore, people tend to behave differently in line with different situations, environments and occasions. The main reason for different behaviors is that people possess different personalities, thoughts and capacity levels to each other. Communication is one of vital secondary needs for all human beings for their survival and growth. Such a need will also lead towards communication driven behaviors of people which is very important in forming and developing trust, strong relationships, mutual respect and integrity among others in the society.

People communicate with other people verbally as well as non verbally. Once, the Lord Buddha said that “a person with one true word is better than a person with 100 misleading statements”. It is clearly evident that the verbal communication process starts in people’s mind with pre- determined thoughts, attitudes, feelings, knowledge and the current intention to communicate. Despite it is verbal or non verbal communication with others, you have to ensure that you have true information and facts, gestures in an appropriate manner, correct intention and assurance in getting feedback from others.

Normally, competency in communication measures the degree to which you are capable of selecting and delivering an appropriate message with the aid of a suitable medium to fulfill other party’s requirements in an effective and timely manner. It also includes the establishment of assurance of obtaining correct feedback from the others at the inception. You must keep in mind that effective and frequent communication is one of critical factors in developing strong relationships with family members, relations and external parties in the work place that you work. Meanwhile, do not forget the fact that your first impression is also embodied with how you deliver words and gestures towards others irrespective of whether it is a inter personal relationship or business dealing.

As a person who wants to be a competent communicator, I would like to suggest the following checklist for you to be beneficial in emphasizing your communication skills.

1. be thorough and precise with what you are going to say or show to others

2. select the suitable language, appropriate audience as well as medium and timing which cater to such target audience

3. be polite, enthusiastic while speaking or signaling and also be a constructive critique

4. make sure that your message will be driven towards a concrete feedback

5. make sure that you are an active listener rather than an active parrot

6. develop your empathy strongly, so that you can cater various groups of people more effectively

7. learn from every word, act and thought of yours and others by reflecting them in a leisure.

8. protect mutual respect and trust while communicating with others.

Meanwhile, do not forget that communication is an art of interacting people which makes win- win situations for both parties. People normally buy people first before developing long term sustainable relationships. Therefore, effective communication among people will make the life easy to occupy a good position in other peoples’ mind.

I still remember the first speech evaluation I ever got as a toastmaster. The late toastmaster Paddy’s very encouraging evaluation worked like magic on me. I have seen him waving his invisible magic wand upon many novices. Every time he doesn’t fail to cast his magic and make a speaker feel dignified, distinguished and determined.

The heart of Toastmasters educational program is evaluation. As we do speeches and take up leadership roles in our clubs, we grow up because of evaluations we get. If anyone really desires to grow and learn, one must also learn to receive and give effective evaluations.

Just like helping a child to learn to write or just like helping someone in your workplace with their work, you help a

toastmaster to understand and grow as a speaker and a leader. This is the Magic of Evaluation.

According to my feeling, an Evaluation has certain characteristics that will be discussed in this brief article. Those can be easily remembered by the acronym E V A L U A T I O N.

1. Encouraging. Your evaluation must encourage a speaker to listen to your ideas, absorb them and then apply those ideas in the speaker’s future speeches. You can encourage a speaker by commending their strengths. Anybody will have at least one aspect to commend in their speech. Even the most obviously nervous speaker, will have a strength. As the evaluator it is your duty to keenly listen and observe the speaker and spot the strengths. For example if a very nervous speaker did the speech with many errors and inconsistencies, but had a good voice, you comment by saying “You already have a great voice, a voice that is loud enough that everyone in the room could hear and at the same time it was so musical and I loved listening to your voice” Note that you are factually commenting on the voice only and not giving any false comments. I am sure when a speaker gets such a comment; they are encouraged to listen to you and do more and grow.

2. Value.Your evaluation must add value to the speaker, audience and yourself. Even the best speech will have room for improvement. Therefore it is your duty to provide that value. Often I hear vague evaluations. An evaluator may vaguely say “your speech was very good!” it adds no value to the speaker, audience and I doubt even if it adds value to the evaluator. If the evaluator says “your speech was very good because it had valuable information useful for me…” it would add value instead of emptiness.

3. Achieve higher standards.Your evaluation should help the speaker and you to achieve higher standards. One of Toastmasters core values is Excellence. Therefore whatever you do you must strive to achieve greatness and help others to achieve greatness. One simple step that an evaluator can take is to deliver the oral evaluation without any “ah”. Very seldom I see an evaluator considering the oral evaluation as an opportunity for the evaluator to practice and improve speaking skills. Therefore I see numerous “ahs”, “ums” and many unnecessary sounds. If you don’t care for your speech (evaluation) yourself, how can you expect others to care?

4. LovingIf you have love and affection to others, it will come back to you in many folds. If you care for the speaker, you will listen intently and look for every possible way that you can help them to grow. Where there is no love or affection, there will be no evaluation but mere words. You will not be able to convey your ideas with emotion and feeling. Therefore as an evaluator you must care for the speaker and remember that the speaker had great faith in you in selecting you as the evaluator.

5. UnhinderedThere should be no barrier either physical or psychological between the speaker and evaluator. Sometimes it may be difficult for a lower ranking officer in an organization to evaluate a higher ranking officer, perhaps the son may find it difficult to evaluate the mother. In such instances its best some other person does the evaluation. It’s always better for the speaker and evaluator to establish communication between them prior to the speech, which will help them to speak and evaluate with an open mind.

6. Affirmative If the evaluation you deliver is positive and affirmative, there will be great credibility to it. Rather than pointing at the flaws or omissions in a speech, if you can help the speaker to convert such shortcomings to strengths, your evaluation will be effective. For example if a speaker had many “ah”s, you could help the speaker by letting him understand why an “ah” sound is made and show him how the speaker can avoid it by pausing for a while.

7. TimedI often observe that a verbal evaluation takes longer time than the speech itself. This is a weakness an evaluator must avoid. In our second speech project “Organize your speech” we all understand how we can make a point concisely and precisely without taking time. Therefore an oral evaluation shall not last any longer than two minutes. During the two minutes an evaluator can squeeze in two or three very important points and provide supporting information.

8. InterestingMost certainly the evaluator must strive to make the evaluation interesting to the speaker and the audience. Using your speaking skills to uncover humor or relating an anecdote would be helpful. Never should an evaluator use sarcasm or vulgarity as it can put off the audience and leave a bad taste.

9. OpenOpenness and sincerity is always expected from an evaluator. The speaker’s social status or influence he has on others, should not affect evaluator’s openness. Remember the speaker and evaluator both must have faith on each other and therefore must have an open and sincere relationship. If this bond is established before the speech is made, doing an open evaluation is easy.

10. Non-threateningMost importantly, the use of words and delivery of the evaluation should not in any way indicate pressure on the speaker. One must understand that even the seasoned speaker would have some sort of distress to receive an evaluation. Therefore as an evaluator you must carefully use words. Avoiding words such as “You must/should have done….”, “The mistake you did was…..”, “I hated when you said…..”, “This is your 7th project. Why did you not have vocal variety?”, “If I was you I would say…..” Instead of such words that intimidate a speaker you can use phrases such as “I suggest…..”, “I felt ……”, “My Reaction was….”, “I believe…” Never use words that you don’t want to hear from someone evaluating your speech.

Remember, when you are the evaluator you have an invisible magic wand in your hands. By way of your words, stance and gestures you are casting a spell on the speaker. The spell can make an angel or not. I am sure you want to always create an angel by your magic. Therefore incorporate the characteristics to your next evaluation and cast your magic spell and help someone to become a charismatic speaker.

Leaders are of many types. Many of them are endowed with charisma, built, voice skin colour etc. and most all leaders are blessed with followers. Generally, power and leadership are interconnected simply because it is believed that the leader needs power to influence his followers or team mates to get things done. In other words, power empowers superiors to influence their peers.

However, in many occasions, you will be leading and managing diverse group of people who come from different cultures, who have different expertise, attitudes and on whom you have little or no authority to direct their performance. However, you are accountable for the team’s output. You are expected, among other things, to

motivate, facilitate & encourage the team. Your responsibilities includes communicating effectively, building trust, and resolving conflicts among members. You need to have all the above skills and more.

In such a group, your authority is virtually non-existence , your status would be considered as the person to whom the work has been given and your survival itself could be a challenge. It can put all of your leadership skills to the test. From setting goals, involving team members, decision making and creating a climate of openness and honesty.

In order to succeed, put your team’s needs first, and if you work very hard to protect their interests, you’ll prove to them that you’re committed

to and passionate about their success. When you demonstrate that you believe in the value of their work, and when you’re willing to work through any obstacles you encounter, your team will respect your integrity – and they’ll want to work hard with you, and for you, to achieve results.

THE FACT THAT YOU POSSESS THE ABILITY TO LAUGH IS PROOF THAT YOU HAVE THE SKILLS TO BE FUNNY.

Someone once asked legendary comic George Burns what the difference was between a humorist and a comedian. With his usual wit and wisdom Burns replied, “If I get big laughs, I’am a comedian. If I get small laughs, I’am a humorist. If I get no laughs I’am a singer”.

Want to use humor but you’re not funnyEver attended a meeting where the audience was bored to tears? Endless PowerPoint slides flashed across a screen. And everyone couldn’t wait to leave. Unfortunately, you were the presenter.

It doesn’t have to be that way. Just a touch of humor can make your presentations more interesting and help you connect with your audience. Can’t tell a joke? Not “naturally funny”? No problem. Don’t Worry. Many people assume that they are incapable of cracking a joke because, they are not naturally funny. But, the fact that you possess the ability to laugh is proof that you have the skills to be funny. Everyone has a sense of humor and its uniqueness makes the world so interesting.

Getting comfortable with humor?The right amount of well-paced and appropriate humor can make your speech a smashing success! Using humor effectively can be tricky. Not to suggest that public speaking must be a laugh fest, but injecting just the right joke at just the right moment into an address can really capture your audience’s attention and goodwill. Humor can also serve to sharpen your speech’s focus and maximize its impact.

Inserting humor into your speechOnce you have identified the details of your humor, you need to work out a specific process to include it into your speech. Start by writing the body of your speech, leaving out the jokes initially. Your overall message is more important than anything else. Once your speech is completely written, read it over carefully. Make note of sections where you want to highlight with humor to emphasize the point. But, remember it is extremely important, especially in a professional setting, not to employ controversial or offensive humor, which I guarantee will backfire on you.

Feel free to be funnyA confident, relaxed attitude is the first thing you need to master. Everyone in the world is nervous in front of a large group of people. If you try to clamp down on nervousness, your focus becomes nervousness instead of the subject you

are trying to present. So, acknowledge that the thought of being funny gives you the jitters, then work to become calm and self assured. It’s important to understand that you really can’t fail at being funny. Resolve that your goal is not to be so hilarious as to knock Mr. Bean out of show business. Instead, all you want to do is share a funny, positive moment with your audience. If they laugh along, terrific: If not, it is not the end of the world. It is very important to put into practice your Toastmasters training. Try to follow the following tried and tested Toastmasters tips: Focus on your message, not on the audience. Visualize yourself giving your speech Realize that people want you to succeed

Tips for finding nourishing humorHere are a few of the many tips collected from various sources:

Make a list of funny things that you observe in your day to day life at home, office and other places Watch humor acts done by comedians & children Watch TV comedy programs and videos Visit the website www.museumof humor.com and other similar web sites Make your kitchen refrigerator into a humor bulletin board Carry a pocket book wherever you go to jot down the humor that you come across Keep a joke file on your computer

Points to rememberHere are a few more hints that can help your humor work smoothly:

Smile and make eye contact with audience members Don’t laugh at your own jokes unless it is a part of the joke itself Avoid improvisation if you are feeling that your speech is going smoothly Customize your material acco ding to audience Keep it relevant to your speech topic Incorporate vocal variety and gestures into your humor. Don’t rush the joke; Speak at a reasonable pace; Not too fast not too slow. Know when to leave them laughing; Pause before the punch line. Identify what jokes and delivery techniques worked best for you and which didn’t. Commit to the joke; Believe in the joke and in your ability to tell it in a funny way. Avoid sexual references and other

controversial areas such as race, religion etc. Humor is supposed to make people feel good, not embarrassed, insulted or offended Know the culture of your audience. What is humor to one nation may not be humor to another. One person’s joke is another person’s rude comment. Do your homework; Practice, Practice, Practice

Experience is greatThe lessons you can learn from your own speaking can be just as valuable and useful. If your talk is uninspired, it can be improved. If it is fantastic, it can be further improved. Learn to analyze your material and your performances. Listen to yourself, to your audience, to your mentors. Make minor & major changes, as necessary. If they work keep them in. If they don’t drop them and try others.

Enjoy how fun it is to be funny. Use it as a learning tool.

200th club MEETINGCIma Toastmasters Celebrate 200th Club meeting

CIMA toastmaster’s bicentennial was held on 13th Aug 2014. All past and present members witnessed a memorable evening. A presentation of a slide flashback from the past brought nostalgic memories of the first meeting and reminded us of all the milestones achieved by CIMA Toastmasters. Toastmasters who introduced CIMA to TMI together with all who helped us achieve these accolades were present which gave us the impetus and the courage to have more such events in the future.

The Charter Installation Ceremony of the Ceylinco Life Toastmasters Club (CLTMC) was held on 22nd September 2014 in a stunning “Oscars” (academy awards) style at Ceylinco Life Towers. The Guest of honor of this colorful event was Distinguished Toastmaster Yusuf Jeevunjee - District Governor, District 82 and the chief guest was Managing director/CEO Mr. R. Renganathan. The event was graced with many senior Toastmasters, Corporate and senior management members of Ceylinco Life. The event was filled with glamour and glory, in the typical Oscar styled theme and was seen as a precursor to the greater heights the CLTMC is set to achieve in the coming years.

The Biyagama Export Processing Zone (BEPZ) Toastmasters club was charted on 24th September 2010 by Toastmaster m. K. D. Lawrance as an opportunity for the professional working in the Zone to improve their leadership skills and public speaking skills. It has been a great success ever since then with 48 members from the Board of investment of Sri Lanka and other enterprises of the Biyagama export processing zone.

BEPZ Toastmasters club had their 5th Installation ceremony where they installed their new Office Bearers and 30 new members on the 29th of August 2014 at Hotel Biyagama Village, Biyagama. Mr. Rashmika Peris, Director of Business at MAS Active Linea Intimo was the Chief Guest.

The President in his acceptance speech stressed the value and the importance

of the Toastmasters club and how much it helps an individual for his or her own personal growth. It was indeed a great motivation for the budding Toastmasters.

TM Rohitha Balasooriya was installed as the 5th President of the club by Past president TM. Rohitha Mullagama. Other members of the executive committee who were also installed on this occasion were TM Darshana Gunaratne (VP Education), TM Demitha Harangala (VP Membership), TM Chathura Sudharshan (VP Public Relation), TM Jude Annesley (Treasurer), TM Chandrika Dharmakeerthi (Secretary), TM Mahinda Kumara (Sergeant at arms).

Within a period of 4 years of BEPZ Toastmasters journey, it has reached to a great height. Last year BEPZ achieved the Selected Distinguished Club Award, Smedly award & Beat the Clock award. BEPZ toastmasters has produced two area governors during the past years.

TM M.K.D. Lawrence was bestowed as Area governor during the second year of the club and TM Rohitha Mullagama was appointed area governor for the current year.
