Registering on the Chat Bot Studio

When registering, make sure to use the SAME name and emailas are registered in the members’ area.

Setting up a Project (chatbot)Creating a chatbot is simple if you follow the steps outlinedbelow. However, please note that you’ll find it easier if youknow how you want the conversations to flow. Imagine you areinstructing a call center to answer customer calls. You wantthe operators to follow a script to make sure they work asefficiently as possible and that your prospects and clients getthe answers they need as quickly and easily as possible.

With that in mind, I would recommend that you create mindmap to organise how the conversations will flow. There aretools available on the internet which have free options whichwill work perfectly well for our needs including:

You’ll also find the ‘thread settings’:

The thread settings control:

> Greeting text - the greeting a user sees BEFORE they startinteracting with the chatbot. E.g. Click ‘Get Started’ to startchatting. > First response - this is the response the chatbot gives whenthe user clicks ‘Get Started’ and > Persistent menu - this is the menu that shows when thethree line icon is pressed under the message box. Thepersistent menu is there to enable users to quickly navigate tokey points. e.g. if a person wants to quickly access ashop/store, you could create a 'Shop' link to your e-commercestore in the persistent menu response.

The Recipient Variables Tab

The recipients’ variables tab shows the variables you can useto personalise your chats.  e.g. if a chat user’s first name isJohn, by using “Hi {$first-name}. How can we help you today?”,the chatbot will reply ‘Hi John. How can I help you today?’

Variable included by default are: First name = {$first-name} Last name = {$last-name} Gender = {$gender} Locale = {$locale}

Timezone = {$timezone}

TIP: You may add as many recipient variables as you need (e.g.email, age, date of birth) and these can be saved during aconversation simply by asking a person for the information andusing the ‘save user input’ response type. This will be coveredlater in this manual.

The Responds Tab

The Responds tab is where you’ll create responses that youwant your chatbot to give to people. When creating responds,think of the words or phrases that a user will make to triggerthese responses and use those as the title of each response soyou can easily identify what each respond relates to from thetitle.

E.g. a respond to a person saying ‘thanks’ in the conversationmight be called ‘thanks’ and you could respond with ‘You’rewelcome, {$first-name}’

So, to respond with a user’s first name - ‘Hi John’ you woulduse Hi {$first-name}

Note that when creating a respond, there are TWO differentresponse categories: General and Persistent.

A general respond is a response in a conversation and aPersistent respond is designed solely for use in the chatbot‘persistent menu’. The persistent menu is accessed via thethree line icon at the bottom of the chatbot in Facebook and isdesigned to enable users to access links quickly:

There are 14 different types of general responds you canchoose from:

 Audio Button Carousel Send File Image Quick reply Text Video Callback (advanced users only) Show RSS Feed Save user input (this saves a user’s answer to be stored asa variable - e.g. if you ask a user what their favourite colouris, the chatbot can store that information and refer to itlater in the conversation). Send ping (advanced users only) Add/Remove user from subscription channel Enable/disable chat (this is used to put a user through tostop the chatbot responding and allow a live operator torespond). Mass Messaging

Mass messaging is a premium feature that enables you tosend/schedule messages to people who have interacted withyour chatbot. Think of this as a way to broadcast messages asyou would send out emails only Mass messages get 99% openrates because they instantly ping on user’s phones and who doyou know that doesn’t read messages received on Facebook?This is why Mass Messaging is by far the best way tocommunicate with your users. It’s even better than PushNotifications on apps because app users can turn offnotifications on their apps but very few people turn offnotifications from Facebook!

Subscription Channels

The subscription channels tab is where you can set up lists orgroups to which you can subscribe users. E.g. you cansubscribe people who buy a product to a buyers’ channel orpeople who live in London to a London channel. Thesubscription process is done in the conversation and is notseen by the users. It can happen automatically in thebackground as soon as they answer a question or complete anaction. This allows you to send mass messages targeted to achannel rather than to everyone.

TIP: You can use this feature as you would an emailautoresponder and get 10x better conversions. However,please note that Facebook does NOT permit you to sendpromotional messages more than 24 hours after the userinteracted with your chatbot. Therefore, if you send a messageafter that time, it must engage the user with news or aquestion/survey or ask non-promotional questions and thenonce the person has responded, you can then guide them laterin the conversation to the promotion.

Building Your Chatbot in 4 steps

TIPS: Before you start... Remember BEFORE you start to plan your chatbot like afunnel. DO NOT to ask open-ended questions. Every questionshould invite a specific reply. Use buttons as responses to guide users. Use emojis when appropriate. You can get emojis fromhttps://emojipedia.org/ You can configure the bot to respond to emojis too! Use images and gifs to improve engagement.

Step 1: Greeting textGo to 'Thread settings' and insert the Greeting text. This is themessage users will see BEFORE they interact with thechatbot. E.g. Welcome to XYZ. we’re here to help. Click ‘GetStarted’ to chat now.

Step 2: Create RespondsGo to the ‘responds’ tab and

(i) create a default response (this will be seen whenever aperson types something that the bot has not been configuredto respond to). And

(ii) create responses to be used in the conversation.

TIP: Create subscription channels and use the ‘Add/Removeuser from subscription channel’ response in your responds.

Step 3: Create FlowsGo to the ‘dashboard tab and click the ‘flows’ link.

Create flows. These are words or phrases that trigger specificresponses.

Remember to set a flow to your ‘default’ response.

Set the button on the Facebook page to ‘message’, right clickthe message button and select ‘test button’ as shown in theimage below. You will then be able to test the chatbot fromyour own Facebook account.

Once you’re happy that it is working well. Disconnect thechatbot from the Facebook page and reconnect it to theFacebook page you created it for.
