YOUR BOOKING WITH RYDGES HOTELS LTD (“RYDGES”) IS SUBJECT TO THE FOLLOWING TERMS & CONDITIONS:

TENTATIVE BOOKINGSWill be held for a period of seven days only, after which time the booking can be released by Rydges and the room made available to other interested parties.

CONFIRMATIONSAll bookings must be confirmed in writing with a non refundable deposit of $1,000.00. Please note that your booking is not confirmed until the signed contract and deposit have been received.

CANCELLATIONNotice of 3 months or more incurs a cancellation fee equivalent to 100% of your deposit.NOTICE OF 3 MONTHS OR LESSDue to the cost incurred a further cancellation fee equal to 20% of the total value of the event, will be made at the discretion of the Sales Executive of Rydges Auckland and will be payable immediately upon request by the Sales Executive. Newbay Investments Ltd trading as Rydges Auckland is not responsible for the cancellation of the event due to any reason beyond its reasonable control including industrial dispute.NOTICE OF 1 MONTH In the event of a cancellation made within 30 days of the event, the full amount of the deposit will not be refunded, and full room hire will be charged along with 50% of food & beverage items.NOTICE OF LESS THAN 1 MONTH In the event of a cancellation made as late as less than 1 month to the function date, full payment of the estimated cost of the event will be incurred.If Rydges is unable to proceed with your booking due to any reason beyond Rydges’ reasonable control (eg: fire or flooding), then Rydges has the right to cancel your booking and Rydges will return your deposit. Rydges will have no further liability for such cancellation.

SURCHARGESShould your function extend past midnight,a room hire surcharge minimum of $250.00 per hour may apply.

FINAL NUMBERSFinal numbers are required fourteen working days prior to the function and charges will be based on these, minimum numbers or on final head count, whichever is greater.

MINIMUM NUMBERSPlease note that minimum number of 50 will apply to our packages. Should your numbers fall below our minimum, please ask us about alternative package options. Minimum numbers are based on full paying adults only. Children and teenagers are additional to this.

PAYMENT50% of the estimated function cost is to besettled three months prior to the reception date (otherwise Rydges can cancel your booking and your deposit will be forfeited). Once payment is made, cancellation conditons apply. The balance of the account is to be paid in full one week prior to the event when final numbers are confirmed. A credit card number is required to settle any additional charges associated with the event. Any damage to Rydges property will be charged to this credit card.

SECURITYRydges will not accept responsibility for the loss or damage to any equipment or property left on the premises prior to, during, or after the function.

COMPLIANCEClients will be responsible to ensure the orderly behaviour of their guests and Rydges reserves the right to intervene where it sees fit. To ensure compliance with its Responsible Service of Alcohol obligations, Rydges reserves the right to refuse service to anyone suspected of being intoxicated. In addition, Rydges will not serve alcohol to any external contractors hired by the Bride and Groom e.g. photographers or band members.

APPROVALSClients must ensure that all external contractors hired (e.g. photographers or band members) have all necessary licences and approvals to undertake the relevant activity. Clients must also obtain Rydges’ written consent before any third party goods, equipment or food/beverage items are brought onto the hotel premises.

MENU TASTINGA menu tasting is provided free of charge for the Bride and Groom upon confirmation of booking by Rydges. The Bride and Groom can choose two entrees, two main courses and two desserts (three courses per person). Please note that the meals presented for your menu tasting and those served on the day of the reception may differ slightly in presentation only due to handcrafting. All ingredients, quality and quantity remain the same.

DAMAGESYou agree to indemnify Rydges for all loss, harm, cost or expense resulting from any damage to any Rydges property or injury to any Rydges staff during the function, caused by any guests or other persons attending the function. Rydges’ maximum total liability in connection with any claims relating to the function will not exceed the total fees paid to Rydges for the function.

OTHER FUNCTIONSRydges reserves the right to book other functions in adjoining rooms at any time.

FIRE, LIGHT & SAFETYRydge reserves the right to adjust any set-up to ensure fire, light and safety codes are met.

EXTERNAL CONTRACTORSRydges is not responsible in any way for the behaviour or co-ordination of any external service provider hired by the Bride and Groom. i.e. photographers or entertainers. You hereby agree to release and indemnify Rydges from all such claims.

DELIVERY AND COLLECTION OF GOODSAny delivery or collection of goods must beprearranged with the Banquet Operations Manager or Wedding Co-ordinator. Any goods left on the premises must be collected after the function.

INSURANCEIt is the client’s responsibility to take out their own insurance for all items belonging to them for the period those items are in the Hotel.

NOISE LEVELSIf the hotel has reason to believe that the level of noise from any function is causing disturbance to hotel guests or neighbouring properties it reserves the right to adjust these levels or eliminate the source as it sees fit.For Rooftop Terrace functions any form of entertainment such as a sound system, DJ or band will need to conclude at 11.30 pm.

CHANGE OF DATEIf the requested dates are not within 30 days of the original dates booked, then the change will be treated as a cancellation.
