1 3. BASIC BIBLIOGRAPHIC INFORMATION Indexers enter bibliographic information into named data fields, outlined below. A Note on Diacritics Diacritics can be entered normally by using the keyboard or keystroke of your choice. Please refer to Appendix C for resources and suggestions. INDEXER (formerly RES: Responsible Indexer) Your last name is automatically entered based on your journal assignments found in the Media file. RECORD TYPE (formerly TYP: Document Type) Identify the document type of the item being indexed. There are four types of documents in the bibliography. 1. Use JOURNAL ARTICLE (JA) for a journal article: an article, essay, bibliography, or interview in a journal. Also use JA for a special issue, special section, or monograph issue of a journal. Field bibliographers should consult an in-house staff member if they believe that a monograph issue warrants a book record rather than a journal record. 2. Use BOOK (BK) for a book monograph: a single, unified work in book form, by one author or more. Treat an edition or translation of a literary work as a BOOK (BK), even if the requisite critical apparatus is written by a number of contributors. Treat a collection of essays by one author and a reference book (such as a dictionary, literary history, or encyclopedia) as a BOOK (BK). 3. Use BOOK (BK) for a book collection: a festschrift or book of articles, containing independent scholarship by diverse authors. Provide a record for the book as a whole (a head record) for book collections that contain three or more articles that fall within the scope of the bibliography. (Note: Identify festschriften as such in facet CONTENT TYPE of the subject indexing form, giving the name of the person honored: CONTENT TYPE | T festschrift R for N Smith, John [the tags N, R, T, W stand for “name,” “role indicator,” “term,” and “work,” respectively].) 4. Use BOOK (BK) for a book in a series: a book collection or monograph, festschrift, or book of articles that is published under a single series title. 5. Use BOOK ARTICLE (BA) for book article/chapter: an independently authored article/essay in a collection of articles/essays and a chapter in a book monograph. Select the Media record for the document type (journal, series, or book) from either the already entered journal issue or book in your To Be Indexed view or Journals Tracking Report view on your Dashboard or from within the tracking for the journal. To use the Search Media function to find material assigned to you, select your name in the Field Bibliographer search box and push enter or click “Search.” ARTICLE/BOOK/CHAPTER TITLE (formerly TIT: Document Title) Record the title and subtitle of the item. Give the title of a journal article or book article/chapter as it appears at the beginning of the article/chapter, not as it appears in the table of contents. Record the title of a book as it appears on the title page (not as it appears on the front cover or spine). Take titles of documents in other media from title page equivalents. If there is no title, first reevaluate whether the article should be included under our guidelines (see “Document Scope” section above, page 5). If a special issue, special section, or other document in our scope does not have a title, supply a brief title in square brackets. [On Editing]
